We are seeking an accomplished and strategic Head of Department to lead our high-performing team. In this key leadership role, you will be responsible for driving the operational performance, fostering a positive team culture, and overseeing the growth and success of the Property Management division. Your leadership will be pivotal in maintaining high service standards for both landlords and tenants, while also guiding the team to achieve exceptional results and continuous improvement. Key Responsibilities:
Lead the property management team with consistent coaching, development, and performance management.
Foster a positive, high-energy team culture with regular recognition and rewards aligned to budget.
Facilitate weekly team meetings and monthly accountability sessions.
Conduct regular one-on-one meetings to support goal setting and career progression.
Drive net rent roll growth through proactive planning and collaboration with BDM and PM efforts.
Engage landlords annually to discuss capital growth, rent reviews, and portfolio expansion.
Monitor retention rates and minimise service losses.
Review and support strategies to increase let fees, lease fees and revenue.
3. Operational Management:
Oversee PM KPIs and ensure service delivery benchmarks are met.
Ensure proactive, professional client communication across email, phone, and video channels.
Conduct regular performance reviews.
Maintain and optimizs internal templates, processes, and workflows.
4. Compliance & Risk Management:
Ensure full team compliance with RTRA Act and QLD Minimum Housing Standards.
Oversee complaints register and risk management practices.
Lead the proactive handling of escalated client matters and complex conflict resolution.
Ensure all portfolio requirements are current and compliant.
5. Technology & Process Optimisation:
Champion the adoption of property management software and automation tools.
Review CRM systems, labels, tags, and automation workflows for data accuracy and efficiency.
Collaborate with directors and finance to set budgets and review financial performance.
Analyse P&L statements and identify opportunities to improve profitability.
7. Recruitment, Onboarding & Induction:
Lead the recruitment process and attract top talent to the team.
Deliver comprehensive onboarding, induction, and training programs.
Assess new starters competency and support their onboarding into the team.
8. Stakeholder & Client Engagement:
Organise and host client/investor events and initiatives.
Conduct annual landlord calls and implement follow-up actions based on feedback.
Secure supplier sponsorships to support event and brand initiatives.
Skills & Attributes Required:
Strong leadership experience in property management.
Rent roll acquisition experience is preferred but not essential.
Solid understanding of QLD residential tenancy legislation and housing standards.
Exceptional communication, negotiation, and interpersonal skills.
Experience with budgeting, financial analysis, and performance reporting.
Ability to manage risk and resolve conflict with a solution-focused mindset.
Competency in PM systems (e.g., PropertyMe, IRE, CRM platforms).
Current driver's licence and a reliable, presentable vehicle.
