The Role

We are recruiting two Executive Assistant roles. The first is a job-share, 12-month fixed-term, part-time position (three days per week) that provides high level strategic, operational, and administrative support to the Chief Executive Officer (CEO). This role plays a critical part in ensuring the effective delivery of enterprise-wide priorities, high profile initiatives, governance activities, and organisational performance requirements. As a trusted advisor and key liaison for the CEO, the position works closely with the Board, senior leaders, government stakeholders, partners, and internal teams to drive strategic outcomes, build organisational capability, and support a high-performing, safe, and engaged workforce.

The second role is a permanent full-time position that provides proactive, senior level support to the General Manager, Operations. It plays a key role in coordinating business group initiatives, operational priorities, and project activities that support safe, efficient, and reliable service delivery. Working closely with operational leaders, technical teams, and delivery partners, this role enhances governance, streamline processes, and ensures effective coordination across the Operations business group.

Key Responsibilities:

* Provide strategic and operational support to the CEO or GM Operations, enabling the delivery of organisational priorities, high impact projects, and business group initiatives.
* Coordinate and track programs, projects, and workflow commitments, preparing executive ready analysis, insights, and recommendations to support informed decision making.
* Manage Executive calendars, communications, governance workflows, and stakeholder interactions to ensure smooth, efficient, and well organised operations.
* Prepare, review, and coordinate reports, briefings, presentations, and governance papers, ensuring clarity, accuracy, and alignment with organisational objectives.
* Oversee business group administration functions—including events, travel, document and record management, and systems maintenance—to support operational excellence.
* Build strong, collaborative relationships with internal and external stakeholders, modelling professionalism, sound judgement, and an inclusive, positive culture.

What we're looking for

We're seeking two highly organised, adaptable, and relationship focused Executive Assistants. Both roles require strong administrative capability, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment. You will bring sound judgement, professionalism, and a proactive approach to supporting high level decision-making and project delivery.

Key Attributes We're Looking For:

* Flexibility, adaptability, and professionalism, with the ability to operate effectively in a dynamic environment, with strong capability across modern administrative and project support functions.
* Strong organisational, time management, and multitasking skills, with the ability to manage competing priorities, meet deadlines, and operate effectively under pressure.
* Excellent communication and interpersonal skills, with the ability to build trusted relationships, influence others, and handle sensitive matters with discretion.
* Strong analytical, critical thinking, and problem-solving capability, with a proactive mindset and willingness to contribute innovation and continuous improvement to systems, processes, and workflows.
* High proficiency in digital and project management tools (e.g., MS Office Suite, MS Project, Asana, Trello, CRM systems) and the ability to produce clear, accurate documentation and reporting.
* Relevant qualifications in Business Administration (Certificate IV or equivalent competence) - plus a valid C Class driver's licence.

These roles will be based in
Hobart
. The Executive Assistant to CEO position is a 12-month fixed-term, part-time position (three days per week), while the Executive Assistant to General Manager - Operations is a permanent fulltime role. These roles attract a total remuneration package of
$103,701.29 to $109,462.48
(inclusive of superannuation, prorated for the part-time role), negotiable depending on experience.
