About the role
This role contributes to the success of the City by providing high level administrative and coordination support that enables the Infrastructure and Assets Network to deliver its strategic and operational objectives. The role focuses on governance support, meeting coordination, high quality administrative services, and oversight of key financial and business processes.
Role accountabilities include:
• Contributing to business improvement initiatives by supporting the development of work instructions and assisting with the implementation of new administrative procedures.
• Overseeing and coordinating meetings across the Infrastructure and Assets Network, including agenda preparation, minute taking, and accurate record keeping.
• Coordinating conferences and events, including registrations, travel, accommodation, and associated logistics.
• Delivering timely administrative support for programs, projects, and major initiatives, including research and preparation of background notes.
• Prioritising and managing incoming communications and customer requests, and auditing outgoing correspondence for accuracy and compliance.
• Assisting with financial operations such as audits, invoicing, and purchase orders.
• Supporting the coordination of open space bookings and ensuring documentation is accurate and assessments are completed promptly.
• Managing updates across digital platforms including the Hive, the IAN Resource Centre, and the City of Hobart website.
• Providing high level administrative, secretariat, and project support through governance coordination, accurate record keeping, and effective follow up.
• Demonstrating discretion, professionalism, and compliance with organisational standards when managing confidential or sensitive information.
About you
You are an organised and proactive professional with experience in providing high level administrative support in a fast paced environment. You demonstrate strong written and verbal communication skills, sound judgement, and the ability to manage multiple priorities while maintaining accuracy and attention to detail.
You are confident coordinating meetings, events, and administrative workflows. You bring strong digital capability, including experience managing online content and electronic platforms. You are committed to continuous improvement and can adapt to new systems, processes, and technologies.
You display professionalism, discretion, and a strong commitment to governance, accountability, and organisational values.
