The Gelganyem Group (Gelganyem ) represents the Traditional Owners of the Barramundi dreaming (a land area running from Kununurra down to and including the Argyle diamond mine) and manages their interests under the Argyle Participation Agreement.

Gelganyem comprises Gelganyem Limited and Gelganyem Investments Pty Ltd, both of which are registered NFP and ACNC-registered charitable organisations, as well as Gelganyem Trust. Gelganyem also operates two successful businesses: Gooring Jimbila Contracting (a civil construction company) and the Gelganyem Land Management (a seed collection, weed management, propagation, and planting business).

Using the provisions of the Argyle Participation Agreement, as well as its own commercial operations, Gelganyem's mission is to improve the social, economic, and cultural wellbeing of Traditional Owners.

The representative nature of the Gelganyem Group is shaped by a traditional cultural structure, with Traditional Owners of each dawang/daam (traditional land or estate group) participating at all governance levels. Traditional Owners comprise predominantly Miriwoong and Gija people from seven identified estate groups.


PURPOSE

Under the direction of the CEO, the Corporate Services Officer will coordinate and manage the day-to-day running of Gelganyem. It is expected that the Corporate Services Officer will work closely and collaboratively with other members of the corporate services team and will be flexible about roles and responsibilities within that team as the organisation requires.

The position provides general secretariat, administrative, logistical, and project-based support services to the Executive Team and the directors of all Gelganyem entities in fulfilling their functions and accountabilities. These support services generally include general office administration activities, correspondence and communications, transport logistics, meeting organisation and other essential administrative functions.

The role involves the coordination of all governance accountabilities and quarterly board meetings for Gelganyem entities, including all corporate and cultural governance. Specifically, this work includes the management of all quarterly meetings of the boards of Gelganyem Limited and Gelganyem Investments Pty Ltd and of the Audit and Risk Committee (corporate governance), as well as support for the quarterly Relationship Committee, Technical Working Group, and Yawoorroong Jiddiwaddam meetings (cultural governance).

This role will work closely with a broad range of stakeholders, including Traditional Owners, Gelganyem Board, executive and staff, technical experts and Rio Tinto.


ROLES AND RESPONSIBILITIES


General

Provide high-level support to the CEO and Executive Team in managing the operational functions of Gelganyem.

Work closely with the Executive Team to enhance the effective and efficient operation of Gelganyem.

Working closely with the CEO, ensure governance and reporting compliance and provide support for board and committee meetings.

Provide logistical and other support services for stakeholder engagement, including travel around the East Kimberley as needed.

Support other corporate services positions where required.

Other duties as directed by the CEO.


CEO support

Provide high-level and confidential secretarial and personal administrative support to the CEO, including diary management, coordinating and arranging meetings and appointments, and managing and supporting day-to-day activities.

Where appropriate, engage with stakeholders on behalf of the CEO and the Executive Team.

Support the CEO with board reporting and other governance requirements.

Support the CEO with operational management and logistics involving members of the Executive Team.


Governance

Working closely with the CEO, provide logistical, operational, and secretarial support for all Gelganyem entities, including arranging and coordinating relevant directors' and members' diaries, arranging and coordinating relevant directors' and members' meetings, printing and distributing Board papers, ensuring all facilities and equipment required are arranged in collaboration with relevant staff, organise catering, and transport for meetings.

Provide support where required by the CEO to ensure compliance with ASIC reporting requirements i.e. notification of changes, yearly general reports etc.

Liaise with key Gelganyem stakeholders including community members, Rio Tinto, Members of Parliament and their offices, directors, partner organisations, Government Departments, directors and internal staff as required to arrange meetings, coordinate events and progress outcomes sought by Gelganyem Group entities.

Under direction of the CEO, ensure Traditional Owners, including the Boards of directors, are kept informed of current issues, meetings and events and provide information reports or documents for meetings.

Assist the CEO with annual auditing requirements.


Administrative Support (including fleet and asset management and management of Gelganyem corporate office)

Manage all enquiries and day-to-day communications, including by answering the telephone, managing the generic Gelganyem email address, and dealing with visitors to the Gelganyem office.

Maintain the organisation's filing system and assist with other administrative tasks where appropriate.

Support other members of the corporate services team with the day-to-day management of all properties of the Gelganyem Group and its related entities, including liaison with third-party property managers and other key stakeholders.

Overall responsibility for managing the Gelganyem corporate office, including liaison with MG Corporation and oversight of cleaning, joint costs and maintenance, and security.

Overall responsibility for day-to-day management of other Gelganyem assets such as equipment, resources and vehicle fleet, and general office upkeep.

Collecting and forwarding mail from the Gelganyem Group Post Office box.


Finance

Raise purchase orders and invoices as requested from time to time.

Support other members of the corporate services team to maintain an accurate and practical asset register of the Gelganyem Group.

Where required, support the CEO and other members of the corporate services team with financial matters.


KEY SELECTION CRITERIA: ESSENTIAL

Strong interpersonal skills with experience in dealing with a diverse range of people from both a cultural and ethnic background.

Demonstrated organisational, administration and time management skills with the ability to balance competing demands in a calm and professional manner.

Demonstrated ability to maintain absolute confidentiality and manage a range of sensitive issues with delicacy and discretion.

Excellent problem‑solving skills.

Demonstrated accuracy with sound written and verbal communication skills.

Strong relationship management skills with the ability to deal with a diverse range of stakeholders in a professional and responsive way.

Demonstrated ability to successfully utilise the Microsoft Office range (Word, Excel, Access, PowerPoint and Publisher) of programs to achieve the administration functions of this position.


KEY SELECTION CRITERIA: DESIRABLE

1. Demonstrated experience in an administrative or financial role.

2. Applicants with experience working successfully with Aboriginal people will be highly regarded.


OTHER RELEVANT FACTORS

Whilst this is a full‑time position, flexible working arrangements may be considered to accommodate the right applicant.
