About the Role:
This is a fast-paced, diverse role where no two days are the same. The purpose is to ensure the team runs at full capacity by managing all administrative, marketing, and logistical functions, allowing the sales team to focus on productive work: prospecting, listing, negotiating, and selling.
* Work alongside Co Agent and Lead Agent to distribute workload
* Manage shared systems: checklists, spreadsheets and dashboards
* Communicate daily updates on campaign progress and pipeline movement

* Ability to manage completing priorities and work within deadlines

Key Responsibilities:
Listing + Campaign Co-ordination
* Prepare all pre-listing documentation, proposals + agency agreements
* Liaise with clients, photographers, copywriting, stylists and suppliers
* Create and manage marketing schedules and deadlines
* Ensure every listing launches seamlessly across online, social, signage + print
* Track campaigns against KPIs, prepare and send vendor reports weekly
Administration + Compliance
* Maintain the CRM with accurate buyer and seller data
* Process listing documents, contracts
* File, store and track all agency paperwork in compliance with legislation
* Diarise and oversee important dates to ensure properties list and settle
Client Service + Communication
* Act as the first point of contact for clients and suppliers
* Deliver consistent, proactive communication to sellers and buyers
* Manage feedback, updates and client touchpoints across the campaign
* Handle settlement gifts, thank you cards and aftercare follow ups
Lead Agent Support
* Manage calendar, appointments, and daily workflow
* Anticipate needs and prepare materials ahead of meetings or listings
* Ensure Lead Agent’s time is protected for listing and negotiation activity
* Co-ordinate one-on-one meetings, team meetings and daily check ins
