Primary objective
Provide high level administrative and secretarial support to the Director and Quality Education and Care NT team
Context statement
The Early Childhood branch provides strategic leadership to deliver high quality, integrated early childhood services and
programs, and reforms that maximise outcomes for children and young people across the Northern Territory. The branch,
which includes the NT regulatory authority Quality Education and Care NT, leads key policy initiatives, programs and
regulatory functions, provides expert advice to the Minister and senior executives, and works collaboratively with
stakeholders across the early childhood education and care sector.
Key duties and responsibilities
1. Provide administrative and secretariat support to the Director and QECNT team to ensure deadlines and organisational
objectives are met such as arranging meetings, formatting of documents, purchase of resources and maintenance of office
equipment.
2. Process incoming correspondence and maintain records in HPE Contents Manager (TRM); coordinate the use and
maintenance of QECNT fleet vehicles and process purchase requests and invoices through NTG Pay and Receiver of
Territory Monies (RTM).
3. Manage general enquiries and liaise effectively with QECNT team, departmental officers and the regulated early
childhood education and care sector and external organisations.
4. Demonstrated ability to maintain confidentiality and uphold high ethical standards, including compliance with the Code
of Conduct and obligations relating to privacy and information security.
Selection criteria
Essential
1. Demonstrated ability to coordinate effective, system-wide administrative and secretariat support, including document
preparation, calendar management, coordinating scheduling of meetings, agenda coordination, minute taking and records
management.
2. Well-developed organisational and problem-solving skills with a proven ability to work independently and effectively
with high levels of self-motivation to meet deadlines with conflicting priorities.
3. Demonstrated ability to follow task instructions, organise work effectively, and provide timely updates on progress.
4. Experience in a range of software packages including word processing, spread sheets, databases, records management,
including payment of invoices through accounting software.
5. Highly developed interpersonal, cross-cultural, written and verbal communication skills, with the ability to engage
effectively with a diverse range of stakeholders.
Desirable
1. Experience working within an early childhood education and care service.
