Position Summary:

The Cartage Coordinator is responsible for the day-to-day coordination of local transport and delivery requirements for the freight forwarding division. This role ensures the timely and cost-effective movement of cargo between ports, airports, warehouses, and client premises while maintaining compliance with regulatory requirements and company policies.

The position requires strong organizational skills, attention to detail, and effective communication with transport providers, internal teams, and customers to deliver a seamless cartage service.

Duties and Responsibilities:

Transport Coordination

* Plan, book, and coordinate local cartage requirements for both air and ocean freight.
* Allocate jobs to transport providers, ensuring cost efficiency and service reliability.
* Monitor and track deliveries to ensure on-time performance (DIFOT).
* Resolve transport-related issues such as delays, missed pickups, or documentation discrepancies.
* Liaise with airlines, shipping lines, depots, and customs brokers to facilitate smooth cargo movement.

Documentation & Compliance

* Prepare and verify transport documentation including delivery orders, job instructions, and consignment notes.
* Ensure compliance with Chain of Responsibility (CoR), WHS, and Dangerous Goods requirements.
* Maintain accurate records in line with company and regulatory standards.
* Support customs clearance requirements by coordinating the timely movement of cargo to/from depots and quarantine inspections.

Customer Service & Stakeholder Management

* Communicate delivery updates and any service issues to internal teams and customers.
* Build and maintain strong relationships with cartage providers and subcontractors.
* Provide proactive updates to clients where required, ensuring professional and timely communication.

Operational Support & Reporting

* Work closely with Import, Export, and Warehouse teams to align transport activities with operational priorities.
* Assist in reviewing transport provider performance and cost control.
* Prepare reports on cartage activities including delays, service levels, and costs.
* Identify opportunities for service improvement and efficiency.

Required Skills and Abilities:

Essential:

* Experience in cartage coordination or local transport within the freight forwarding/logistics industry.
* Strong knowledge of air and ocean freight processes.
* Familiarity with Chain of Responsibility, WHS, and transport compliance requirements.
* Excellent organisational skills with strong attention to detail.
* Effective communication and problem-solving skills.
* Proficiency with freight forwarding/transport management systems and Microsoft Office.

Desirable:

* Prior experience liaising with depots, carriers, and customs brokers.
* Knowledge of EDI systems and freight documentation processes.
* Exposure to both import and export cartage operations.
