WEM is seeking a highly organised and proactive Personal Assistant to support our three General Managers within the Construction division and their teams. This is a pivotal role providing high-level administrative and coordination support, central to daily operations - managing priorities, coordinating workflows, and ensuring effective communication across the business, enabling our leaders to focus on delivering high-quality project outcomes.
Key Responsibilities
* Provide high-level administrative and coordination support to three General Managers within the Construction division, ensuring smooth day-to-day operations and alignment to key priorities
* Manage complex calendars, inboxes, and confidential communications with discretion and efficiency
* Organise internal and external meetings, including agendas, logistics, and preparation of briefing materials
* Prepare and edit correspondence, reports, presentations, and key business documents
* Support client engagement through timely communication, follow-ups, and coordination of key touchpoints
* Coordinate team processes, including quarterly check-ins, KPI reviews, and onboarding activities
* Attend construction meetings and capture clear, actionable minutes
* Support reporting, special projects, and general administrative tasks as required
* Assist with expenses, budgets, and leave management
* Coordinate travel, site visits, and team logistics
* Build strong relationships across teams and work closely with the Administration team to share knowledge and drive effective outcomes
We Are Looking for Someone Who Has
* Demonstrated experience in a Personal Assistant or similar role, supporting senior leaders, with a strong track record in managing complex schedules, communications, and administrative functions; experience within construction is advantageous.
* Exceptional organisational skills with a proven ability to prioritise tasks, manage multiple deadlines, and adapt quickly in a fast-paced, evolving environment.
* Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), and familiarity with digital collaboration tools such as SharePoint and Teams.
* Outstanding written and verbal communication skills, with the ability to draft professional correspondence, reports, and presentations, and communicate effectively with internal and external stakeholders.
* Strong interpersonal skills, with the ability to establish and maintain trusted working relationships across all levels of the business and with external partners.
* Excellent time management and forward planning abilities, with a proactive and solution-oriented mindset to anticipate needs and address challenges before they arise.
* Skilled in the preparation of high-quality business reporting and presentations, ensuring information is accurate, clear, and visually engaging.
* High level of discretion and sound judgment, consistently maintaining confidentiality and professionalism when handling sensitive information.
* Thrives under pressure, with the ability to deliver high-quality work within tight timeframes and shifting priorities.
* Confident working in close partnership with senior leadership, demonstrating initiative, resilience, and strong stakeholder engagement across diverse audiences.
