About Us
At HEDSS, independence starts here — and we make it happen with care, energy and respect.
We provide safe, reliable and flexible support to NDIS participants so they can live their best independent lives. We do this by creating a positive, supportive environment where our team is trusted, well-trained and valued. When our people are supported, our participants flourish.
As we continue to grow our Supported Independent Living (SIL) and Community Access services, we're seeking an experienced Medical / NDIS Administration Assistant to support a short-term documentation and compliance project across our services.
Our Head Office is based in Raymond Terrace, and our SIL houses are located in Thornton, Salamander Bay and Black Hill, with Mayfield opening soon. Flexibility to work across sites is important for this role.
About the Role
This is a hands-on, project-based role focused on improving documentation quality, organisation and compliance across SIL and Community Access services.
Working closely with our Accommodation Coordinator and Operations team, you will:
* Audit, organise and reconcile on-site participant, medical and support documentation
* Identify documents suitable for archiving, scanning, digitisation or secure shredding
* Identify missing, incomplete or outdated documentation and assist with follow-up requests
* Track expiry dates (e.g. plans, consents, medical documentation) and support the setup of system reminders
* Assist in documenting participant routines, schedules of care and support requirements
* Apply consistent documentation standards across SIL and Community Access
* Improve paper-based and digital filing systems
* Ensure records align with NDIS, SIL and organisational compliance requirements
This role is primarily on-site, working directly from houses and service locations where records are currently held.
About You

* Strong NDIS knowledge, ideally within SIL and/or Community Access environments
* Excellent attention to detail and confidence handling confidential and sensitive information
* A practical, methodical approach with the ability to work independently and to deadlines
* A proactive mindset — you don't just file documents, you identify gaps and fix them
Systems Experience (Highly Regarded)
* Experience with one or more of the following will be highly valued:
* Employment Hero
* ShiftCare
* Microsoft Office (Word, Excel, Outlook, SharePoint)
* AI tools to support documentation, efficiency and workflow improvement
