Executive Assistant – Surgery and Perioperative Medicine

About the role
Reporting to the Manager, this role is responsible for the provision of proactive, effective, and efficient administrative functions within the SAPOM Executive Office.
Responsibilities
* Ensure that service provision and the activities of the Division are person and family centred and professionally and effectively conducted by contributing to the development of an integrated team approach and culture which is highly responsive to the needs of our consumers.
* Provide confidential executive assistance using initiative and judgement to facilitate effective utilisation of time with appropriate diary management.
* Coordinate, plan, and schedule meetings with a range of purposes, applying knowledge and experience to achieve outcomes.
* Prepare, collect, and distribute information required for meetings, including agendas, minutes, papers, associated documents and reports and facilitate the actioning of relevant action items.
* Undertake discreet projects as directed by the Divisional Directors or Senior Leaders within the division.
* Provide coordination support for an annual event held at an off‐site convention centre (event coordination experience not essential).
About you
* Demonstrated high‐level communication skills (interpersonal, verbal and written).
* Proven experience in effective diary management and coordination of high‐level meetings.
* Ability to apply judgement and initiative and strong attention to detail.
* Ability to work with competing demands and prioritise in an ever‐changing environment.
* Experience working in a complex and high‐demand environment, where confidentiality and professionalism must be applied and maintained.
* Proven experience in a range of software programs, including Microsoft Office and Adobe Pro.
* Experience working in Government or SA Health Office is advantageous.
