Who we are looking for
An experienced and highly organised Medical Secretary who enjoys working in a team and has experience in billings for Medicare and Private Health funds (this is essential). Has strong customer service and computer skills (VIP and/or Genie preferred). While prior experience in Ophthalmology is not required, we will provide full training. What matters most is your ability to contribute to a positive, professional environment and support the smooth running of our practice.
The ideal candidate needs to be a fast learner, a good communicator and supervisor. The role includes being able to cover each doctor's secretary during lunches, leave and for training purposes. An excellent knowledge of Medicare and health fund billing is essential with a strong understanding of electronic reporting preferably from experience with using VIP.net medical software.
Applicants must have excellent customer service and computer skills, with a background in medical administration.
We are inviting applicants with the following skills to apply:
 * 3 years plus previous Medical Reception experience.
 * Confident in using practice management software.
 * Ability to prioritise and multitask effectively.
 * Strong communication skills and proven supervisory ability.
 * Knowledge of medical terminology (ophthalmology knowledge highly regarded but not essential)
 * The capacity to work both independently and collaboratively within a high-performing team.
 * Competent in rostering and scheduling.
 * Experienced in billing, financial reporting and debt management.
 * An excellent understanding of MBS and private health funds.
Your key duties and responsibilities will include:
 * Managing billing processes, including surgery bookings, and resolving health fund/medicare discrepancies.
 * Provide high quality, general administration support to the practice manager
 * Leading by example—training, supervising, and supporting team members while maintaining clear communication
 * Assist with problem solving and ensuring compliance with practice policies and procedures.
 * Provide guidance, support, and supervision to the medical secretarial team
 * Act as a resource for problem-solving and facilitate ongoing learning and development
 * Coordinate daily duties to maximise efficiency and ensure high-quality service delivery
Position details
 * This is a full-time role, Monday to Friday, with fixed hours across three days based on your specialist's clinic schedule. Flexibility is essential, as you'll also help cover colleagues' leave between 7:30am and 6:00pm.
