About the role:

* Our client is a leading manufacturer and supplier of food ingredients, known for quality, reliability, and innovation
* Seeking a motivated Administrative Officer to support their customer service and purchasing functions
* Ensuring smooth coordination between customers, suppliers, and internal teams.
* Permanent Full Time Opportunity.
* Monday to Friday with standard working hours


About your duties:

* Raise and manage purchase orders for raw materials, packaging, and general supplies.
* Monitor inventory levels and assist in forecasting material requirements.
* Communicate with suppliers regarding lead times, deliveries, and pricing.
* Assist in sourcing and evaluating new suppliers and materials.
* Maintain purchasing and stock control records in ERP or accounting systems.
* Serve as the first point of contact for customer inquiries and orders via phone and email.
* Process customer quotes, sales orders, and dispatch documentation accurately.
* Provide product information, pricing, and order status updates.
* Liaise with production and warehouse teams to ensure timely deliveries.
* Manage customer records and maintain CRM data.
* Provide general administrative support to management and operations.
* Prepare documentation, reports, and correspondence as needed.
* Coordinate logistics and freight bookings when required.
* Support accounts with supplier invoices, purchase matching, and approvals.


About you:

* 5+ years' experience in customer service, purchasing, or administration within a manufacturing or food industry environment.
* Certificate or Diploma in Business Administration, Supply Chain, or related discipline preferred.
* Experience with ERP or inventory management systems (e.g. SAP, MYOB, Pronto, or similar) highly regarded.
* Strong communication and relationship-building skills with both customers and suppliers.
* Excellent attention to detail and organizational skills.
* Proficiency in Microsoft Office (Excel, Outlook, Word).
* Ability to work collaboratively in a fast-paced, team-oriented environment.
