The Production & Logistics Coordinator is responsible for managing the end-to-end workflow between sales, production, and warehouse operations. This role ensures jobs move smoothly from order confirmation through production, packing, and dispatch, with clear communication at every stage.
The position plays a hands-on leadership role across production support and warehouse logistics, coordinating priorities, managing incoming and outgoing goods, and removing bottlenecks before they impact delivery timeframes or customer expectations.
This is a key operational role focused on flow, accuracy, communication, and accountability.
Key Responsibilities
Workflow & Coordination
* Act as the central point of coordination between sales, production, and warehouse.
* Review daily and weekly job schedules and ensure work is prioritised correctly.
* Monitor job progress and proactively identify delays or capacity issues.
* Ensure all jobs are production-ready (artwork approved, stock available, timelines clear).
* Communicate job status updates clearly to sales staff and management.
Production Support
* Work closely with the Production Team to balance workloads across printing, embroidery, and DTF.
* Assist in production when required during peak periods (printing, embroidery setup, sampling).
* Help maintain efficient job changeovers and minimise downtime.
* Ensure quality standards are maintained before jobs move to packing or dispatch.
Warehouse, Receiving & Dispatch
* Oversee all incoming goods — checking, receipting, labelling, and correct allocation to jobs.
* Coordinate packing and dispatch of completed orders.
* Ensure accuracy between job sheets, packing slips, and invoices.
* Manage courier bookings, pickups, and delivery timelines.
* Maintain an organised, safe, and efficient warehouse environment.
Stock & Inventory Control
* Monitor stock levels related to current and upcoming jobs.
* Flag shortages, backorders, or supplier delays early.
* Assist with stocktakes and inventory accuracy.
* Ensure stock is allocated correctly to jobs and not double-booked.
Communication & Leadership
* Be the operational link between front-of-house sales and back-of-house production.
* Provide clear instructions and priorities to warehouse and production staff.
* Support team members with problem-solving and workflow improvements.
* Escalate issues early with solutions, not surprises.
Systems, Process & Continuous Improvement
* Maintain accurate job tracking and status updates in internal systems.
* Identify inefficiencies and recommend workflow improvements.
* Help implement systems that improve turnaround time, accuracy, and accountability.
* Support training of staff in workflow processes and expectations.
Skills & Experience Required
* Experience in production, warehousing, logistics, or operations coordination.
* Strong understanding of workflow in a fast-paced production environment.
* Excellent organisational and time-management skills.
* Confident communicator — able to liaise with sales, production, and management.
* Hands-on mindset with the ability to step into production or warehouse tasks when needed.
* Strong attention to detail and problem-solving ability.
* Experience in print, apparel, or manufacturing environments highly regarded.
