Due to continued growth, we're seeking a Client & Operations Coordinator to support our internal operations and help keep our systems, documentation, and processes running smoothly.
About the Role
This is a varied and hands-on administration and operations role supporting the ICS team across HR documentation, CRM management, event coordination, social media assistance, and general business support.
As the Client & Operations Coordinator, you'll play a key role in maintaining accurate records, coordinating internal processes, and supporting both the team and our clients. You'll work across multiple systems and platforms, ensuring information is organised, up to date, and easily accessible.
The role also offers a clear development pathway into a client-facing Virtual Assistant (VA) role, where you'll support ICS clients directly with administrative and operational tasks as your skills and experience grow.
This position is ideal for someone who enjoys structure and variety, takes pride in being organised, and wants to grow their career in administration, operations, and client support.
Key Responsibilities
Administration & Operations Support
* Provide day-to-day administrative support to the ICS team
* Assist with document management, filing systems, and internal processes
* Support efficient business operations across multiple departments
HR Documentation & Office Support
* Assist with the preparation, organisation, and maintenance of HR documentation
* Support onboarding documentation and internal records
* Assist with general office coordination and administration tasks
CRM & Client Systems Management
* Maintain and update client records within the CRM and related platforms
* Assist with client account administration and digital record management
* Ensure data accuracy and compliance with internal processes
Event Coordination
* Assist with planning, coordination, and logistics for client and internal events
* Provide hands-on support with event setup and administration
Social Media & Marketing Support
* Assist with managing and scheduling social media content
* Support content creation for posts, videos, and reels using tools such as Canva
* Assist with marketing and promotional activities as required
Virtual Assistant Support (Future Growth)
* Develop skills to provide Virtual Assistant services to ICS clients
* Support clients with administrative, organisational, and operational tasks
* Grow into a client-facing support role over time
About You
You're a reliable, detail-oriented administrator who enjoys working across multiple tasks and systems. You're organised, proactive, and comfortable supporting both internal teams and clients.
You'll bring:
* Strong administration, organisation, and time-management skills
* Excellent written and verbal communication skills
* Confidence using Microsoft Office and online business systems
* Experience with CRM systems, document management, or client platforms
* Exposure to Hubdoc, Xero, and Servicem8 (advantageous but not essential)
* Familiarity with social media platforms and tools such as Instagram and Canva
* A positive attitude and willingness to learn
* Previous experience in administration, operations, HR support, marketing support, or client services (preferred but not essential)
* Interest in developing into a Virtual Assistant or broader client support role
