Job Description This is a remote position. Job Overview The Quality Administration Officer provides administrative and operational support to the Quality Manager to maintain, monitor, and improve client's Quality Management System. This role contributes to quality assurance activities, compliance with NDIS requirements, and supports quality-related projects, documentation, audits, and internal communications. The position requires a high level of organization, attention to detail, and ability to manage multiple administrative processes with accuracy and professionalism. Job Responsibilities * Assist with the implementation and maintenance of quality and compliance processes under the guidance of the Quality Manager, ensuring alignment with internal policies and NDIS standards. * Manage residential agreements, including preparation in line with legislative and compliance requirements, maintaining the residential agreement register, and liaising with internal and external stakeholders (e.g. support coordinators, guardians) to distribute and follow up on outstanding agreements. * Create, maintain, and update corporate registers to support quality assurance and compliance activities. * Support document control activities, including the formatting, updating, versioning, and internal publishing of quality-related documents, forms, and policies. Ensure document tracking and version control processes are followed. * Provide administrative support to project groups, including meeting coordination, minute-taking, distribution of materials, research tasks, and follow-up on assigned actions. * Assist with audit processes, including coordination and scheduling of internal audits, maintaining the internal audit register, tracking outstanding audits and corrective actions, preparing documentation, and supporting external audit preparation and stakeholder liaison. * Coordinate the distribution of compliance updates and quality bulletins to relevant internal teams, ensuring clear and timely communication. * Support internal communication and quality engagement, including assisting the Quality Manager with departmental correspondence, distributing guidance materials, tracking engagement, and preparing presentations and resources to promote understanding of quality and compliance standards across teams. * Foster positive relationships with participants, families, and service providers to support quality outcomes and uphold client's commitment to participant-centred services. * Participate in staff meetings and training sessions to maintain awareness of organizational priorities and contribute to continuous improvement efforts. * Uphold confidentiality at all times regarding all information related to participants, staff, and client operations * Perform additional tasks and duties as assigned by the Quality Manager and executive team, in line with the organisation’s strategic and compliance objectives. Requirements * Experience in administrative or quality/compliance support roles is required. * Strong organizational and time management skills, with the ability to manage multiple tasks and priorities are required. * Experience working in a facility accredited by Joint Commission International (JCI) is desirable. * Knowledge of or experience in the NDIS or disability services sector is desirable. * Experience supporting quality assurance, audits, or compliance-related functions is desirable. * Understanding of NDIS Practice Standards and legislative frameworks is desirable. * Familiarity with document control and quality management systems. * High attention to detail and accuracy in data entry and document management is required. * Excellent written and verbal communication skills. * Proficient in Microsoft Office (Word, Excel, Outlook) and document formatting. * Ability to work independently and collaboratively within a team. * Professional and courteous approach when dealing with stakeholders.
