About the Role:
Shadforth is one of Queensland's leading civil construction contractors, delivering major subdivision and infrastructure projects across Southeast Queensland and Northern NSW. With over 1,100 employees across 70+ active project sites.
We are experiencing an exciting period of growth and are seeking an experienced Regional Construction Operations Administrator to join our Gold Coast team to provide high-level administrative, operational and executive support to the General Manager Construction and regional Project Teams.
This role blends construction administration, reporting, compliance, financial support, and PA-style assistance, playing a key role in ensuring projects and leadership functions run efficiently and professionally.
Key Responsibilities:
* Provide high-level executive and PA support to the General Manager Construction, including email management, diary coordination, travel arrangements and meeting support
* Coordinate regional construction administration, including compliance documentation, site inductions, training records, safety and quality documentation
* Prepare, collate and maintain accurate project and corporate documentation, including meeting minutes, reports, registers and executive-level correspondence
* Support financial and procurement administration, including purchase orders, invoice processing, cost tracking, and assistance with claims and month-end activities
* Collate project information and prepare regular operational, cost and forecasting reports to support informed decision-making
* Act as a key liaison between the General Manager, Project Managers, Engineers, Foremen and external stakeholders, maintaining strong working relationships across the region
About You:
* Minimum 3+ years' experience as a Senior Administrator, Construction Administrator or Personal Assistant within the construction industry
* Experience providing direct support to senior management
* Advanced Microsoft Office skills with strong document formatting capability
* Strong organisational, project management and problem-solving skills
* Ability to manage multiple priorities in a fast-paced environment
* Ability to write, understand and produce executive-level reports
* High attention to detail and strong follow through
Desirable:
* 3–5 years' civil construction experience
* Understanding of construction contract administration and reporting
* Experience with Viewpoint or similar construction management systems
* Strong understanding of logistical planning and coordination of people, plant and equipment
