This role assists with event planning, coordination and administration, and acts as a key point of contact for Parent Support Groups and community stakeholders.About YouThe Events and Community Liaison Officer will display high level organisational skills, and an enthusiasm for delivering exceptional events and celebrations.

With an enviable reputation of excellence in girls' education and world class facilities, St Hilda's School has a long and proud history of outstanding academic achievement, grounded in strong Anglican Christian values.About the PositionKey responsibilities are as follows:AdministrationProvide administrative support related to the planning, coordination, and execution of School events such as alumni events, fundraising activities, open days, and community engagement eventsAssist with budget tracking, purchase orders, supplier liaison and processing invoicesEnsure systems such as Humanitix, TASS, mailing lists and booking forms are kept current and accurateUpdate School website relating to community events and assist in the preparation of marketing materials for Marketing team approval.Event CoordinationPlanning, organising, coordinating, and managing event ticketing, venue bookings,equipment,catering, signage, guest lists and seating plansAttend events as needed, assisting with setup, coordination, and pack-down to ensure smooth delivery.Community Liaison and Stakeholder EngagementBuild and maintain warm, professional relationships with Parent Support Groups, volunteers, community partners, and alumni.Alumni Relations, Database and ArchivesMaintain and update the School's alumni archives and support the development of alumni engagement initiatives, including alumni newsletters, reunions, and networking eventsManage alumni correspondence, responding to inquiries, and updating contact information.Manage the coordination of School volunteers for events, programs, and other activitiesProvide training materials and briefings for volunteers to ensure they are well-prepared for their rolesPrepare Blue Card Audits for Community Volunteers bi-monthly in conjunction with the Risk and Compliance Officer.Parent Support Group CoordinationProvide administrative support to the parent support groups, including managing meeting schedules, agendas, minutes, communications, attending meetingsAssist with organising parent-led events, fundraisers, and community-building activities.Selection Criteria:1.
Qualifications and ExperienceDemonstrated experience in planning and coordinating events and working in a community engagement or related fieldHigh level proficiency in Microsoft Office Suite, SharePoint and databases.2.
Event Management and CoordinationProven ability to plan, coordinate, and execute events from conception to completion, including venue management, catering coordination, and logisticsExperience managing event registration systems and ticketing platformsCapacity to attend events outside standard business hours when required.3.
Administration and Organisational SkillsHigh level of administration proficiency and maintaining accurate records across multiple systemsExperience with budget tracking, processing purchase orders, and supplier liaisonDemonstrated time management and prioritisation skills and ability to work both independently and as part of a team4.
Communication and Stakeholder EngagementExceptional written and verbal communication skills with the ability to engage professionally with diverse stakeholders including parents, alumni, volunteers, and community partnersDemonstrated ability to build and maintain positive, collaborative relationships with internal and external stakeholders.Why Join St Hilda's School?
