Pilbara ISOCo Limited is the government appointed independent system operator for the North-West Interconnected System (NWIS), an electricity grid serving mining, industrial, commercial and residential loads in Western Australia's Pilbara region.
The Company was registered in June 2021 as an incorporated not-for-profit public company limited by guarantee under the Corporations Act 2001.
The current members of Pilbara ISOCo are the three interconnected registered network services providers – APA, Horizon Power and Rio Tinto.
About the role
We're looking for an experienced Administration and Communications Officer to join our team (part time 5-6 days per fortnight or equivalent hours). This position manages and coordinates administrative functions across the Pilbara ISOCo, including administration, office management, communications and assist with financial administration.
Duties:
Administration
* Supports the executive team with coordination of administrative tasks including organising meetings, training and travel arrangements
* Oversees record keeping including file creation, retention, storage, maintenance and disposal of records
* Coordination and record keeping for the Board of Directors through a Board portal
* Schedules and coordinates reviews of company and Board policies and procedures
* Assists with recruitment and onboarding processes
* Assists with creating and coordinating project and task tracking reports
Office management
* Responsible for the day-to-day running of the office, including liaising with building management, arranging access passes, and being the point of contact at London House.
* Maintains office supplies and equipment including stationary, consumables, laptops, phones and printers
* Liaises with external IT supplier for IT related issues, ordering of new IT assets and software
* Point of contact and authorised representative of the business for IT and communications
Communications and stakeholder engagement
* Setting up whole-of-office and industry workshops
* Maintain a stakeholder database and coordinate external facing email communication updates
* Updates and maintains the website
* Creates forms, procedures, templates, flowcharts and reports such as the Annual Report and Strategic Plan in Canva
* Onboard new suppliers including vetting and maintaining the Supplier Conflict of Interest Register
* Assists with project expenditure tracking
* Tracks invoices, corporate card expenditures, manages petty cash reimbursements, and ensures compliance with financial policies.
* Coordinates the processing of claim forms (travel, overtime, allowances), Working from Home authorisations, and other branch agreements
About you
* Proven experience in a corporate service, business support or administration role
* Strong written and verbal communication skills
* High level to detail and a multi-tasker
* Team orientated and able to work independently
Desired skills, knowledge and abilities
* Experience with developing forms/procedures in Canva highly desirable
* Experience within the energy industry highly desirable but not essential
* Flexibility to take on other ad-hoc duties if required
