About the Role

We're looking for an Office Administrator to join our Sydney-based team. This role is responsible for helping the office run smoothly day-to-day, ensuring the environment is organised, welcoming, and highly functional for employees and visitors alike.

Working closely with HR and the Office & Admin team, you'll support a broad range of office coordination, administration, onboarding, and people-related activities. You'll become a key in-office presence, helping create a positive employee experience while supporting the operational needs of a growing business.

This is a hands-on role best suited to someone who is proactive, organised, reliable, and enjoys variety in their work. As the business continues to grow, there will be opportunities for the role to expand in scope and responsibility.

Your Mission at Life Trading

Office Management:

* Support with the smooth day-to-day running of the office environment
* Coordinate office maintenance, security, and general upkeep
* Manage office supplies, amenities, purchasing, and expense reconciliation
* Respond to general office enquiries and administrative requests
* Coordinate guests, visitors, and contractors, including meeting room setup and front-of-house support
* Maintain kitchen and communal areas to a high standard throughout the day
* Support document management processes including filing, signatures, and certifications
* Assist with internal office communications and company announcements
* Support management of company merchandise and branding materials
* Assist with ad-hoc operational and administrative tasks as required

HR Administration Support:

* Support onboarding and offboarding processes for employees and contractors
* Assist with preparation and administration of employment documentation
* Coordinate onboarding logistics including system access, workspace setup, and induction schedules
* Support with maintaining accurate HR records and employee documentation
* Support employee engagement initiatives, wellness programmes, and staff gifting
* Assist with WHS administration and first aid coordination
* Provide administrative support across recruitment and people operations activities

Business & Operational Support:

* Provide ad-hoc administrative support to leadership as required
* Coordinate domestic and international business travel arrangements
* Assist with company events, team socials, and internal functions
* Provide administrative support across Finance and Operations teams
* Contribute to maintaining a positive office culture and employee experience
* Follow and uphold company values and operational standards

What We're Looking For

* Strong organisational and time management skills
* Excellent administrative and multitasking capability
* Clear written and verbal communication skills
* Friendly, confident, and professional interpersonal manner
* Ability to work independently and take initiative
* Strong attention to detail and reliability
* Proficiency with Microsoft Office and Google Workspace
* Familiarity and experience with system administration (HiBob, Netsuite, or similar systems preferable)

Bonus Points For

* Experience working in a small team or fast-paced business
* Experience within a start-up, financial services, or professional services environment
* Exposure to HR administration or office coordination responsibilities
* Event coordination experience
