Reporting to the Bids Manager, this vital role focuses on the coordination and production of high-quality, compelling bid and proposal submissions for RBG. You will be central to the bid preparation process, working closely with technical experts, senior leadership, and business development teams across multiple divisions.
Your primary responsibility will be to coordinate the collation of all necessary inputs (text, graphics, data, compliance documents) and use your strong Adobe InDesign skills to produce polished, professional, and persuasive bid documents that meet client requirements and deadlines. While grounded in coordination and document production, this role offers exposure to the strategic elements of winning work and contributing directly to RBG's growth.
Key Responsibilities:
* Coordinate the end-to-end bid submission process, ensuring adherence to timelines and requirements.
* Liaise effectively with diverse internal stakeholders (engineers, managers, commercial teams) to gather, review, and refine bid content.
* Utilise Adobe InDesign to expertly format, design, and produce high-quality bid documents, proposals, and presentations.
* Maintain and update a library of bid content, templates, case studies, and graphics.
* Ensure all submissions are compliant, accurate, consistent, and reflect RBG's brand standards.
* Support the Bids Manager with administrative tasks related to the bid function.
Skills & Experience
We are looking for a highly organised and proactive individual with exceptional attention to detail and the ability to thrive under pressure while managing competing deadlines. You will possess excellent communication skills, enabling you to confidently interact with stakeholders at all levels. You have a strong desire to contribute to a high-performing team and take ownership of the bid production process.
* Demonstrable proficiency and proven experience using Adobe InDesign for document layout, formatting, and production is essential.
* Proven experience in a coordination role, managing multiple inputs and stakeholders to meet deadlines (experience in a bids or proposals environment is highly advantageous).
* Exceptional organisational and time management skills with a meticulous eye for detail.
* Strong written and verbal communication skills.
* Ability to work independently and collaboratively within a team environment.
* Proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Experience with other applications within the Adobe Creative Suite (e.g., Photoshop, Illustrator) is advantageous but not essential.
* Experience working within the engineering, construction, architecture, or professional services sectors.
* Understanding of the bidding process for professional services.
* A background or qualification in Business, Communications, or a related field.
