Based Health Group was founded by two Occupational Therapists who believed allied health could be done a little differently, with high clinical standards, genuine team culture, and real care for the people we serve. We have grown carefully across NDIS, aged care, and community home care services throughout Perth, choosing the right people and building strong foundations.

Our Dianella clinic hub is now open and reflects exactly who we are: a purpose-built space with clinic rooms, a fully equipped rehabilitation gym for participants, clients, and staff, a proper team office with an outdoor area, easy on-site parking, and a coffee machine you will actually use. We are proud of the tight-knit team we have built, a dozen awesome individuals including co-founders Mitch and Zac, experienced, kind, and genuinely excellent at what they do. We may be biased, but we believe we have the best team out there, carefully hand-picked, one person at a time. We share, we work together, and no one is left to figure things out on their own.

About the role

This is a boutique administration role at the heart of a close-knit allied health team, working directly alongside our clinicians in our awesome Dianella space. You will be the engine room that keeps things running smoothly, managing the day-to-day administration that lets our therapists do their best work.

This is the first dedicated administration role at Based Health Group. Until now, our founders have handled admin themselves since the business began two years ago, and as a thriving allied health provider we are now ready to bring the right person on board. The tasks below are examples only. We are open to discussing the role further and shaping it around your strengths.

This is a part-time role, 3 days per week, with a flexible approach to how those days are structured. There is genuine capacity to move to full time later this year as the organisation grows. It is also well suited to part-time students studying in a similar field.

What you will do (Examples)

* Manage incoming and outgoing emails and general team correspondence
* Handle invoicing and follow up on outstanding payments using Xero
* Coordinate intervention creation and document preparation for the clinical team
* Manage printing, collation, and document presentation for the team
* Order and stock consumables, office equipment, and clinic supplies
* Take intake and referral phone calls and emails, and manage new participant enquiries
* Support tender and grant applications
* Record and stay on top of staff compliance documentation
* Provide general administration support across the office
* Work directly alongside our clinical team in our Dianella clinic hub

Who you are

* Kind, caring, and empathic, yet professional and efficient, with warmth and sharpness in equal measure
* Someone whose values come first and genuinely cares about how they work with people
* Organised and proactive, with the ability to juggle competing tasks and keep things running smoothly
* Experienced in administration, with NDIS and healthcare or aged care experience preferred
* Familiarity with Splose (our CRM) and Xero (our accounting software) is an advantage, though not essential
* Confident on the phone and in writing, with a friendly, professional manner
* Reliable, detail-focused, and consistent in the quality of your work
* Comfortable taking ownership and using initiative
* Permanent Australian resident preferred
* A team player who shares, collaborates, and brings positive energy to a tight-knit group
