Our Professional & Financial Risks (PFR) team is a high‐performing, fast‐paced practice that works closely with leading insurers and clients on complex and interesting matters. We're now looking for a Legal Secretary to join the team in Sydney.
This role would suit someone who enjoys being highly organised, thrives in a busy environment, and takes pride in keeping a legal practice running smoothly. You'll work closely with Partners and fee earners and play an important role across matter management, client service, billing and day‐to‐day practice support. At WK, you'll be trusted, well supported, and encouraged to grow, while being yourself.
What you'll do
As a Legal Secretary, you'll provide end‐to‐end administrative support to our PFR practice, ensuring matters are managed efficiently, accurately, and in line with client service expectations.
Your responsibilities will include:
* Managing matter openings, conflict checks, and maintaining accurate file hygiene in iManage
* Preparing client acknowledgements, appearances, Master Cost Agreements, and other legal documentation
* Tracking key deadlines, court dates, and diarising critical milestones
* Drafting, formatting, proofreading, and finalising documents (including e‐signatures and PDFs)
* Supporting billing and WIP management in line with client SLAs, including liaising with Finance and Billing teams
* Coordinating client reporting and maintaining reporting data and spreadsheets
* Assisting with diary management, meetings, and internal/external events
* Monitoring partner inboxes and supporting day‐to‐day practice needs
* Providing broader team support, including assisting colleagues during peak periods
What you'll bring
To succeed in this role, you'll bring a proactive mindset and a genuine interest in supporting a busy legal practice. You'll also have:
* Proven experience as a Legal Administration Assistant or Legal Secretary
* Exposure to litigation and court processes (advantageous, but not essential)
* Strong organisational skills and the ability to manage competing priorities
* Confidence working with legal systems such as iManage, Aderant, or similar
* Experience supporting billing processes and financial administration
* Excellent attention to detail and a hands‐on approach to your work
* Strong written and verbal communication skills
* A collaborative, can‐do attitude with the confidence to take initiative
