About the Role
We're looking for an Operations & Accounts Coordinator to support the financial and operational backbone of our business. You'll work closely with management, sales, and our supplier network to keep things running smoothly — from invoicing and reconciliations through to reporting and process improvement.
This role suits someone with a couple of years' experience in accounts or operations, but would equally suit a recent finance or business graduate who's organised, eager to learn, and ready to grow into a broader commercial role.
We're particularly interested in candidates who are curious about how AI tools can be used to work smarter — whether that's automating repetitive tasks, improving reporting, or finding efficiencies others haven't spotted yet.
This is a 12+ month maternity leave cover position.
What You'll Do
Accounts & Reporting
• Manage accounts payable and receivable, including invoicing and reconciliations
• Assist with bookkeeping and financial reporting using Xero or MYOB
• Prepare weekly and monthly business reports for management
Operations & Coordination
• Process orders, coordinate dispatch, and manage day-to-day operational workflows
• Liaise with suppliers, freight partners, and retail customers to resolve issues quickly
• Support the customer service team with phone and email queries as needed
Improvement & Efficiency
• Identify and implement process improvements across the business
• Use AI tools and automation to streamline workflows, reduce manual effort, and improve accuracy in reporting and administration
• Provide general administrative support to the management team
What You'll Bring
• 2+ years' experience in accounts, operations, or administration — or a recent degree in finance, accounting, or business
• Proficiency in accounting software (Xero or MYOB) and strong Excel skills including pivot tables and formulas
• Essential proficiency with Excel pivot tables and Microsoft BI for data analysis and reporting tasks
• A practical understanding of AI tools (such as ChatGPT, Claude, or Copilot) and a genuine interest in applying them to everyday business tasks
• High attention to detail and the ability to manage competing priorities calmly
• Strong communication skills, both written and verbal
• A problem-solving mindset — you look for better ways to get things done
Bonus If You Have
• Experience with wholesale, distribution, or eCommerce platforms (e.g. Maropost, Shopify)
• Familiarity with inventory management or order fulfilment systems
• Australian work rights (Australian citizenship, permanent residency, or valid work visa) are required
