J1LED is an Australian owned family business, based in Beenleigh, Qld. We are a Manufacturer of LED signage and traffic products. We specialise in design, engineering and production of over 200 products within the Intelligent Transport Systems & Portable Traffic Products Industry.
We are seeking a qualified candidate for a 12-month maternity leave cover contract.
This role blends general administration with hands-on bookkeeping and purchasing support, we are looking for someone who can juggle reception duties, purchasing, and bookkeeping support.
Key Responsibilities
Reception & Office Coordination
- Provide general office administration support (greeting visitors, answering phones, filing, binding, photocopying, scanning).
- Organise meetings, staff travel (flights, accommodation, rental vehicles), and freight
- Visit the post office and manage incoming/outgoing mail
- Order and maintain office supplies, staff amenities and catering
- Manage petty cash and process payments with credit card
- Provide administrative support to the Management Team
- Monitor and maintain various project and compliance registers.
- Monitor and manage multiple Email inboxes – redirecting emails, following up and replying to queries
Bookkeeping & Purchasing Support
- Ensure all supplier invoices are accurately entered into the system
- Reconcile supplier statements against invoices and chase missing documentation
- Raise purchase orders and follow up with suppliers on outstanding items
- Support accounts receivable and payable functions
- Send monthly client statements and follow up on payments
- Assist with monthly account reconciliations and reporting
- Performing day-to-day bookkeeping tasks (non-senior level)
What You’ll Need:
- Proven experience in administration, bookkeeping, or purchasing support
- Intermediate to advanced Microsoft Office skills (Word, Excel, Outlook, PowerPoint)
- Solid attention to detail and excellent organisational skills
- Professional phone manner and customer-facing confidence
- Valid driver’s licence and own vehicle
Bonus Skills (Desirable but Not Essential):
- Experience with freight and logistics coordination
- Familiarity with purchasing and stock systems
- Background in travel booking and event coordination
- Exposure to accounting software or systems: Xero, Fishbowl, Myob or similar ERP.
