Whitsunday Wealth is a leading financial planning firm, dedicated to empowering clients with financial freedom and peace of mind. We're seeking a professional and process-driven Client Services Manager to join our team. This role is integral to our business, ensuring clients feel valued and advisers are fully supported.
What You'll Do
- Client Journey & Scheduling : Manage the onboarding of new clients to the business. Schedule reviews, manage adviser diaries, and coordinate via our calendar management system. Work with the support team to coordinate review preparation and administrative duties.
- Front of House & Reception : Be the welcoming face of Whitsunday Wealth — greeting clients warmly, offering tea/coffee/water, and creating a calm atmosphere. Ensure client meetings run smoothly and efficiently.
- Administration & Operations : Process client payments and managing forms and filing via internal systems, with training to be provided. Handle emails from referral partners and third parties. Scan, file, and organise client records. Oversee stationery, supplies, mail, and office presentation.
- Compliance & Governance : Keep up to date with licensee news, compliance updates, and apply them to office processes.
What You'll Bring
- Excellent diary and scheduling management skills
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and knowledge of Xplan, Calendly and DocuSign (preferred).
- Strong interpersonal and reception skills — professional, warm, and approachable.
- Ability to juggle multiple tasks while staying calm and organised.
- High attention to detail and a process-driven mindset.
- Minimum 2+ years experience in client services or administration, preferably in financial services
- Minimum Year 12 completion or equivalent qualification
- Australian work rights (citizenship, permanent residency, or valid work visa)
- Ability to obtain and maintain a clean police background check
