About the Role
We are seeking a highly organised and proactive Senior Administration Officer to provide professional and high-level support to the Manager Open Space and Trees and the whole department within the Places & Spaces Directorate. Based at Kew Depot, this role plays a key part in ensuring the smooth and effective operation of the department, while acting as a central coordination point for councillor and CEO correspondence.
Working across a diverse range of stakeholders, you will deliver quality administrative support, coordinate key processes, and contribute to strong customer service outcomes that support our community and our Department purpose for a greener Boroondara.
Key Responsibilities
In this role, you will provide comprehensive administrative and organisational support to the Manager and Department, including document preparation, meeting coordination and office management activities. You will manage incoming and outgoing correspondence, ensuring responses are timely and accurate.
You will support financial and purchasing processes, including raising purchase orders and maintaining departmental supplies, while ensuring adherence to Council procedures.
The role also oversees records management, including monitoring systems and ensuring service standards and response timeframes are achieved. You will deliver high-quality customer service to a wide range of internal and external stakeholders and assist with resolving complex enquiries.
Additionally, you will contribute to reporting, process improvements and documentation, maintaining efficient systems that support the department's performance and compliance obligations.
About You
You are an experienced administration professional with a strong track record of supporting senior leaders in a complex organisation. You bring excellent written and verbal communication skills, with the ability to prepare high-quality reports, correspondence and documentation.
You are highly organised, detail-oriented and able to prioritise competing demands while meeting deadlines. Your advanced Microsoft Office skills and ability to learn new systems quickly enable you to work efficiently and effectively.
With a proactive, solutions-focused mindset, you demonstrate initiative and sound judgement, particularly when dealing with sensitive matters. You thrive both independently and as part of a team, building strong relationships across all levels and delivering exceptional customer service.
