About the role
We are seeking a Business Administrator to support the financial, administrative and People Ops functions as we continue to scale and grow globally. Reporting to one of the founders, this role will suit someone who is proactive, organised and comfortable handling a broad range of administrative tasks across finance, compliance and people operations, and would suit someone who is looking for a part‑time role after a career break or parental leave.
Key Responsibilities
- Xero management (Australia & New Zealand) – maintain and reconcile company accounts in Xero (AU and NZ), with potential expansion to a US Xero instance.
- Day‑to‑day account reconciliation – reconcile bank transactions and ensure accuracy between Xero and supporting information.
- Team expense reconciliation – oversee the submission and reconciliation of employee expenses, tracking receipts and processing claims.
- Monthly invoicing and debt chasing – prepare and send invoices; monitor outstanding accounts and follow up overdue payments.
- Manage customer invoicing platforms – raise and submit invoices through Ariba, Coupa Host and Voya.
- AWS Marketplace accounting – manage invoicing and payment reconciliation for AWS Marketplace products and services, including matching disbursements to invoices.
- Invoice payment account reconciliation – reconcile incoming payments against issued invoices and update accounting records.
- Payroll processing (Australia & New Zealand) – prepare bi‑monthly payroll, including on‑call and call‑out payments and novated lease deductions. Work with the founder for final approvals before submission.
- ABA file generation – produce ABA files for bulk payment processing (e.g., payroll and creditor payments).
- Monthly financial reporting – import Xero data into an existing accounts spreadsheet.
- Tax compliance – prepare and lodge monthly BAS (Australia), payroll tax returns (Australia) and IR payments (New Zealand). Provide any necessary PAYG withholding information and work with external accountants.
People Ops & Team Support
- Employee life‑cycle administration – coordinate onboarding and off‑boarding, including collecting personal details and setting up Xero profiles.
- Payroll additions – track on‑call schedules and call‑out payments; liaise with employees to confirm hours before processing payroll.
- Insurance & workcover administration – assist in maintaining workers’ compensation, public liability and other business insurance policies; facilitate renewals.
- ASIC & corporate compliance – file any required changes to company directors, shareholders or addresses, and maintain a register of ASIC filings.
Compliance & Operations
- Tax & payroll compliance – ensure timely submission of BAS, payroll tax and IR filings, and maintain compliance with Australian and New Zealand tax regulations.
- On‑call and novated leasing payments – monitor and process payments relating to on‑call duties and novated leases in payroll.
- Invoice review & bill payments – verify supplier invoices, raise purchase orders where needed, arrange payment runs and ensure timely payment of all bills.
- Cost control – help monitor operational expenses and support the founders in creating a zero‑expense culture through effective expense reconciliation and timely reporting.
- Development and management of an annual compliance calendar to ensure Operata meets its external and internal obligations.
- Facilities management tasks as required.
Skills & Attributes
The ideal candidate will possess:
- Experience in accounting and payroll administration – working knowledge of Xero for AU/NZ (and ideally some exposure to US accounts); ability to reconcile accounts, process invoices and manage payroll.
- Familiarity with invoicing platforms – experience using customer portals such as Ariba, Coupa Host and Voya.
- Strong organisational & record‑keeping skills – office administrators often manage correspondence, scheduling and record‑keeping; attention to detail is essential for accurate financial and compliance tasks.
- Excellent communication – ability to interact professionally with staff, customers and suppliers via email and phone; handle queries and follow up debtors.
- Human resources understanding – capability to administer onboarding/off‑boarding processes, maintain confidentiality of employee information and coordinate performance review schedules.
- Proactivity and problem solving – comfortable prioritising multiple tasks, improving processes and anticipating administrative needs.
- Familiarity with Australian and New Zealand compliance – knowledge of payroll tax, BAS, PAYG and IR requirements; ability to prepare filings or work with external accountants.
- Technology proficiency – solid skills in spreadsheets and office software; ability to maintain accounts spreadsheets and generate ABA files; familiarity with HubSpot or similar CRM systems.
