About RSL Queensland
RSL Queensland (RSLQ) is the largest ex-service organisation in Queensland – providing practical support, assistance and camaraderie to veterans, current serving Defence members, and their families across the state and nationally.
The Veteran Services department strives to provide all veterans and their families with a streamlined, supportive and empowering experience after leaving the Australian Defence Force. The department also supports RSLQ's 10 Districts and network of more than 230 Sub Branches across the state.
Role Overview
With the assistance of the District Administration Assistant, you'll play a vital role by representing the State Branch and delivering efficient, effective, high quality and stakeholder‐focused administration, coordination, and support function services directly to the District and District President. As our liaison point between the District and the Sub Branches that form each District, key accountabilities include (though are not limited to):
* Reporting functionally to the Regional Manager with the District President responsible for day‐to‐day tasking
* When appointed by the District Board, act as appointed Secretary of the District and comply with the requirements as set out in the Act and the District Constitution (e.g. preparing notice to members, agendas, and minutes)
* Assisting in both data collection from and the effective distribution of League information to Districts and Sub Branches
* Delivering exceptional administrative support including managing confidential and sensitive documentation and information with discretion
* Organising, promoting, and facilitating meetings, events, and District Branch activities (including booking appointments, travel, and accommodation)
* Leading the District Administration Assistant team
* Participating in District activities and events (including some scheduled weekend events) and more...
Requirements
* Minimum of 5 years' experience in fast‐paced office administrative roles
* Minimum of 3 years of supervisory experience
* Stakeholder‐centric approach with the ability to work with Service personnel and volunteers
* Excellent communication and interpersonal skills, including the ability to influence and negotiate in pursuit of objectives
* Ability to provide quality service to both internal and external stakeholders
* Ability to work autonomously, with limited direction or supervision
* Ability to contribute to a positive work environment and project a professional image
* Good ability to conceptualise and draft communications, minutes, and presentations from scratch on a variety of topics (advanced skills in MS Office)
* A continuous improvement mindset
* Formal qualification in business administration or a related field is desirable
Sound knowledge of corporate governance requirements and experience in the provision of effective secretarial support to boards and committees, and experience working with a community‐based or ADF organisation will make your application even more competitive.
