We are looking for a self motivated and committed manager to lead our practice as it grows to meet the needs of our patients and the NHS.
Main duties of the job
The successful applicant will show excellent leadership and people management skills, with the ability to delegate and empower staff.
They will be responsible for project and change management within the practice, PCN and ICB resulting in a safe and effective service for our patients
About us
Our practice is in Tamworth, a small, but growing, town in Staffordshire. We have a list size of approximately 14000 patients.
The surgery has five partners, two salaried GPs and a team of advanced practitioners and general practice nurses. We have a structured management team and experienced admin and reception team. We are a training practice and welcome registrars and medical students.

Operational Management
Implementing new initiatives to continuously improve theefficiency and effectiveness of the practice ensuring appropriate manpower isavailable.
Ensuring immediate issues that arise during the workingday, e.g. patient, staff, doctor, premises issues are dealt with in anappropriate and timely manner.
Direct line management of the IT Manager, Business Manager,HR Manager, Reception Manager, Quality Manager and support for the NurseManager (for non-clinical issues) and overall responsibility for thenon-clinical staff.
Ensuring effective communication between all team membersincluding GPs, Nurses, and non-clinical staff.
Responsible for maintaining effective relationships withexternal organisations, i.e. The Integrated Care Board (ICB), Mercian PrimaryCare Network (PCN), Accountant, Solicitor etc.
Monitoring Quality Improvement Activity.
Responsible for ensuring a Recovery Plan is in place andup to date.
Responsible for managing and dealing with complaints, inconjunction with the Partners when appropriate.
Finance and Profitability
Overall responsibility for financial matters.
Overall responsibility forfinancial product management
Overall responsibility for the overview of the variousEnhanced Services.
Administration of the CQRS claims submission software andoverview and approval of the submission of claims to NHS England.
Overall responsibility for reconciling payment statement.
Overall responsibility for resolving financial queries.
Overall responsibility for the invoice management andbanking functions, including reimbursements, where appropriate.
Overall responsibility for management of Partner drawingsin conjunction with the accountant, buy ins and pay outs.
Overall responsibility for the annual renewal of Surgery(including Employers Liability), Staff Absence and Tax Investigation Insurance.
Alerting the partners to any financial issues andproviding financial reports on request.
Overseeing the Practices income and expenditure, workingto ensure that maximum profitability is achieved.
Partnership Business
Providing comprehensive, innovative and professionalmanagement support to the Partners, helping to develop strategies to meet bothPractice and NHS England objectives.
Setting dates and agendas for Partnership meetings,recording the minutes and actions agreed.
Maintaining the Partnership Agreement, managing andissuing revisions as required.
Responding to Partnership changes, taking appropriateactions regarding GMS Contract variation management and PSCE submissions.
Care Quality Commission
Advise the partners on action needed to maintain compliancewith the CQC and ensure that practice systems meet the Essential Standards
Manage the process by which the practice maintainsregistration with the CQC
Monitor and develop the operation of the practice asneeded to ensure that all Essential Standards continue to be met by theprovider.
Support the partners through any inspections from the CQC
Implement and follow up any action or improvementsrecommended by the CQC to maintain registration.
Supporting the HR Manager in overseeing the HR functionfor the Practice.
Overall responsibility for the accurate monthlycompilation of the payroll.
Ensuring that the Practice completes all actions inrelation to NHS Pension schemes.
Lead contact for the Patient Participation Group (PPG)
Responsible for:
Utilities Contract management, payments and claims
Upkeep and maintenance of building
Maximising claiming where appropriate from the IntegratedCare Board (ICB)
Information Governance
Responsible for matters relating to Information Governanceand Data Sharing
Responsible for the Data Protection registration andannual completion of the Data Security Toolkit.
Policies and Procedures
Responsible for ensuring the review of all Policies andProcedures and communicating any changes to Practice staff.
Implementation of any new Policies and Procedures andensuring information is available, as appropriate.
Meetings
Attending weekly Practice Meetings.
Attending Primary Care Network meetings
Meeting with individual GPs, as required.
Acting on any attributed actions arising out of thevarious meetings.
Future Planning
Provide strategic management to the Practice to ensure aneffective long-term plan.
Preparation of the Practice Business Plan and Practiceaims and objectives as required by the partners.
Keeping abreast of developments within the NHS that mayhave implications for the Practice or individual partners and offering optionsfor consideration by the partners.

While seeking treatment, patients entrust us with, orallow us to gather, sensitive information in relation to their health and othermatters. They do so in confidence and have the right to expect that staff willrespect their privacy and act appropriately.
The postholder may have access to confidential informationrelating to patients and their carers, practice staff and other healthcareworkers. They may also have access to information relating to the Practice as abusiness organisation. All such information from any source is to be regardedas strictly confidential.
Information relating to patients, carers, colleagues,other healthcare workers or the business of the Practice may only be divulgedto authorised persons in accordance with the Practice policies and proceduresrelating to confidentiality and the protection of personal and sensitive data
Health & Safety:
The post-holder will implement and lead on the full range ofpromotion and management their own and others health, safety and security asdefined in the practice Health & Safety Policy, the practice Health &Safety Manual, and the practice Infection Control policy and publishedprocedures. This will include (but will not be limited to):
Ensuring job holders across the practice adhere to theirindividual responsibilities for infection control and health and safety, usinga system of observation, audit and check, hazard identification, questioning,reporting and risk management.
Maintain and up to date knowledge of health and safety andinfection control statutory and best practice guidelines and ensureimplementation across the business
Using personal security systems within the workplaceaccording to Practice guidelines
Identifying the risks involved in work activities andundertaking such activities in a way that manages those risks across thebusiness
Making effective use of training to update knowledge andskills, and initiate and manage the training of others
Using appropriate infection control procedures,maintaining work areas in a tidy and safe way and free from hazards, andinitiation of remedial / corrective action where needed
Actively identifying, reporting, and correction of healthand safety hazards and infection hazards immediately when recognised
Undertaking periodic infection control training (minimumannually)

Person Specification
Experience
* Experience of and success at communicating with and managing people.
* Experience as a people manager, with some knowledge of employment law and health & safety regulations.
* Experience of working in teams and able to promote a team spirit.
* Evidence of a commitment to continuing professional development. Experience of working with members of the public.
* Management experience in the NHS or in practice management. Experience of EMIS.
* Experience of PCNs and how they work
Qualifications
* Evidence of a sound education to a minimum of GCSE level
* Evidence of a commitment to continuing professional development
