About the Role
We are looking for a motivated and detail-oriented Administration Officer to join our Fenner Mackay Branch on a 6-month maternity leave cover and work 4 days per week. This fixed-term opportunity offers exposure to a variety of responsibilities and the chance to grow within a supportive, close-knit team of five. Reporting to the Administration Supervisor, this role is ideal for someone with administrative experience who’s eager to develop current skills and support a high-performing team.
To succeed in this role, you'll bring proven experience in administrative support and a proactive mindset. Your ability to meet deadlines, communicate effectively, and build strong relationships with both colleagues and stakeholders will be key to your success.
Key responsibilities
- Supporting the finance team by raising and receipting purchase orders against job orders using Epicor
- Ensuring goods are received in valuable condition and match required specifications
- Monitoring and managing site stationery supplies
- Preparing and managing monthly job costings
- Updating and maintaining various registers, managing the support and sales inboxes, and following up on queries promptly
- Coordinating travel and accommodation bookings and offering general admin support to branch employees
- Assisting with payroll timesheet entry and supporting month-end reporting as needed
About You
You’ll bring a robust background in administrative support, with proven proficiency in ERP systems and Microsoft Office—particularly Excel and Word. Your sharp eye for detail is matched by your strengths in coordination, problem-solving, and task prioritisation. You thrive in a service-oriented team environment and are committed to meeting deadlines with efficiency and professionalism.
To succeed in this role, you will demonstrate:
- Solid experience in administrative procedures and practices
- Strong computer literacy, with the ability to quickly learn internal systems (familiarity with Epicor is advantageous)
- Excellent written and verbal communication skills, with the ability to engage confidently with a variety of stakeholders
- High attention to detail and effective problem-solving capabilities
- Exceptional time management skills, with the ability to balance priorities and meet tight deadlines
- A current driver’s licence
