This Federal Government department is seeking an
**APS4 Executive Assistant/Branch Coordinator** for a 12-month contract with a possible extension.
**About the Position**:
This department is seeking an organised, proactive administrative whizz to support the Branch Managers and other staff in the role of Executive Assistant/Branch Coordinator. In this role you will be at the heart of the branch, working with a wide range of internal and external stakeholders to manage communication and workflows. You will ensure the branch is well run, efficient and effective.
The department is a small, dedicated, friendly Agency with people that strives to create an inclusive workplace where all feel welcome and can succeed. We work with people from government, the research sector, industry and communities on to deliver the National Competitive Grants Program as well as policy issues relating to research undertaken by universities and their partners. We are located on Ngunnawal country.
**Duties and Tasks Your duties will typically include**:
- Tracking branch action items and ensuring tasks are completed on time
- Diary management including room bookings
- Anticipating requirements for meetings attended by the branch manager, and initiating the timely preparation of briefing material before meetings
- Anticipating requirements around clearance of materials and facilitating their timely provision to the branch manager
- Working with relevant staff to provide responses to internal and external information requests and using required corporate and administrative reporting tools
- Supporting branch planning
- Credit card reconciliation
- Arranging and acquitting travel as required
- Providing support to other areas of the branch as requested by the branch manager
**Required Skills and Knowledge**:
- Strong administrative skills, including establishing and following processes to achieve outcomes
- Customer service focus, dealing positively with a range of stakeholders
- Ability to learn other software and systems including PowerPoint, Excel and corporate reporting tools
