Role Overview:
We are seeking a Project Administrator on a 3–4 month contract (with potential to transition to permanent) to take over from a long-service leave handover. The role is initially based in Collie, then will split between Collie and Bunbury, supporting site managers and supervisors with mobilisation tasks, project documentation, equipment coordination, and general administration.
Key Responsibilities:
* Manage handover from outgoing administrator, ensuring continuity of project records and processes.
* Liaise with site managers and supervisors to coordinate mobilisation activities (e.g., site inductions, equipment logistics, accommodation bookings).
* Prepare, track, and maintain project documentation: contracts, permits, site plans, safety documentation, and equipment registers.
* Coordinate equipment scheduling and maintenance requests in collaboration with site and workshop teams.
* Monitor project timelines and deliverables, escalating risks or delays to management promptly.
* Maintain accurate databases/spreadsheets for asset tracking, costs, and resource allocation.
* Assist with invoice processing, purchase orders, and supplier communications as needed.
* Support ad-hoc operational tasks: meeting minutes, reporting, travel arrangements, and correspondence.
Essential Qualifications and Experience:
* Previous experience in an operations or project administration role, ideally within earthmoving, mining support, or construction sectors in WA.
* Strong organisational skills with the ability to prioritise tasks and manage tight handover timelines.
* Proficiency with Microsoft Office suite (Word, Excel, Outlook) and familiarity with database or project management tools.
* Excellent communication skills, both written and verbal, for liaising with site teams, suppliers, and stakeholders.
* Ability to work autonomously and adapt to changing site demands.
* Based in (or willing to relocate to) Collie/Bunbury region, with reliable local accommodation or travel arrangements.
* Full Australian working rights and capacity to start within the coming weeks.
* 3–4 month contract with clear handover process; potential extension or permanent placement.
* Competitive remuneration: equivalent to $80–90K per annum + super (hourly rate ~$40–45/hr).
* Regional role based in Collie initially, then split between Collie and Bunbury (travel/time covered).
* Exposure to end-to-end project administration in earthmoving/construction context.
* Supportive team environment with structured onboarding and clear processes.
