Administrative Assistant – Biio

Behind every steady clinical interaction is something quieter but just as important: structure that holds. That's where this role lives.

This is not a background role in the traditional sense. It is the structural backbone of complex care. You are the person who makes sure details don't slip, communication doesn't fracture, and clinicians have what they need to focus fully on their patients. You create order where complexity could easily become noise.

Your work is rarely loud — but it is deeply consequential. When this role is done well, things feel seamless. When it's neglected, everything feels harder.

Biio was built because complex invisible illness is poorly handled in Australia. People with multi-system conditions are sent between providers, asked to retell their story, and left to coordinate their own care while unwell. Information fragments. Plans change. Predictability disappears.

The Administrative Assistant supports that architecture. You ensure the system functions cleanly and reliably — so patients experience steadiness instead of confusion. You will support the operations and clinical teams with precision and follow‐through.

Responsibilities

* Managing scheduling systems and coordinating complex appointment flows.
* Preparing documentation and ensuring records are accurate and up to date.
* Supporting internal communication between clinicians and operations.
* Tracking tasks, follow‐ups, and administrative workflows.
* Maintaining organised digital and physical systems.
* Assisting with patient onboarding processes behind the scenes.

But the real work is judgment. You notice inconsistencies. You ask clarifying questions. You anticipate what will be needed tomorrow. You close loops. You understand that small administrative errors create large emotional consequences in healthcare — and you work carefully because of that.

A typical day might begin with reviewing the week's schedule and identifying a bottleneck before it becomes a problem. You prepare documentation for upcoming clinics so clinicians can move smoothly between patients. You update records, respond to internal requests, confirm logistics, and ensure that no follow‐up task lingers unowned. Throughout the day, you move between detail‐heavy work and collaborative problem‐solving. The environment is thoughtful but fast‐moving. Plans shift. Priorities evolve. You stay steady and methodical. When the day ends, things feel organised — not because they organized themselves, but because you were paying attention.

Experience in healthcare administration, allied health support, operations, or high‐responsibility administrative environments is valued — but maturity, judgment, and work ethic matter more than titles.

This role is not suited to someone seeking minimal responsibility or repetitive, low‐accountability tasks.

This position sits at the operational core of Biio. As we grow, strong contributors may expand into broader coordination, systems improvement, and leadership support responsibilities. You will gain firsthand insight into how multidisciplinary healthcare actually functions — an invaluable foundation for long‐term careers in healthcare, operations, or leadership. Growth here is earned through reliability, initiative, and care.

Full‐time, onsite in Subiaco is strongly preferred. Part‐time may be considered for exceptional candidates. This role works closely with both operations and clinical teams. Presence, consistency, and attention to detail matter.
