Job Description
The Role
This position is responsible for providing proactive practice and administrative support to the Firm's lawyers, primarily in relation to billable client work. The role ensures that clients are serviced professionally and in accordance with the Firm's policies and procedures.
The Practice Support Coordinator will be part of client matter teams, supporting all matter-related processes from inception through project completion, billing, and collection.
You'll also contribute to the broader office environment, supporting Front of House and collaborating with colleagues to ensure our operations run seamlessly. This is a varied role with plenty of opportunity to learn, grow, and make a meaningful impact across the firm.
Key Responsibilities:
Matter and Practice Support
Proactively prepare and manage billing, ensuring accuracy and timeliness
Assist with matter budgets and financial tracking
Run conflict checks and open new matters
Prepare engagement letters
Coordinate and track matter deadlines, including court filings and submissions
Maintain team calendars (hearings, deadlines, leave, events)
Support the collation and submission of legal directory submissions (e.g., Chambers, Legal 500)
Assist with team knowledge resources (precedents, templates, know‑how)
Administrative and Document Support
Process expense claims
Manage travel arrangements
Provide diary management support
Format short documents (letters, pitches)
Convert and merge PDFs
Run document comparisons
Printing, scanning, and bundling
Update CVs
Assist with matter file management in iManage, including maintaining structure and saving correspondence
Office and Team Support
Support Front of House during peak periods or absences
Assist with coordination of office‑wide activities and events
Contribute to smooth daily operations and a high standard of client service across all touchpoints
Qualifications
Your Experience
3-5 years' relevant experience in a law firm or professional services environment
Prior experience supporting a finance or transactional practice is preferred
Ability to thrive in a high-performing environment
Intermediate to advanced Microsoft Office skills
Strong organisational skills and attention to detail
Proactive, mature, and collaborative approach to managing work and relationships across teams
Respectful of colleagues and committed to working in an inclusive team environment
Effective at working both independently and as part of a team
Demonstrated ability to innovate and streamline processes
