About the Role

We are seeking an experienced and highly organised office manager to enhance organisational efficiency and support our CEO, Board, and governance bodies.

The ideal candidate is a proactive problem-solver with a keen eye for detail and a passion for operational excellence.


Main Responsibilities


Administration Support

* Schedule and coordinate virtual and in-person meetings, including travel, venues, and catering.
* Prepare and format business reports, PowerPoint presentations, and board papers.
* Organise team planning workshops, including logistics, materials, and follow-ups.


Operations Management

* Manage and oversee key programs, including scholarships, education and training partnerships, CPD recognition, and membership applications.
* Develop, document, and implement efficient processes for program management.
* Maintain key organisational registers (contracts, gifts, assets, licences, and subscriptions).
* Ensure timely policy reviews and organisational insurance renewals.


IT & Systems Management

* Act as the primary liaison with the IT provider, managing staff hardware and system access.
* Oversee SharePoint structure and user access.
* Manage accounts payable and receivable, supplier invoicing, and expense reconciliations.
* Liaise with the external bookkeeper and ensure financial reports are delivered on time.
* Support the CEO in annual budgeting, including coordination, data collection, and approvals.
* Document accounting processes for a comprehensive user manual.


About You

Required skills and experience:

* Minimum of 5 years experience in a similar role.
* Proven experience in office management, operations, or administration.
* Strong organisational and project management skills with attention to detail.
* Excellent written and verbal communication skills.
* Experience with IT systems, including CRM (preferably Salesforce) and Microsoft Office Suite.
* Ability to design and implement efficient, repeatable processes.
* Experience managing external contractors and suppliers.
* Proactive, resourceful, and able to work independently in a remote setting.
* Experience in a membership association or knowledge of education/training, advocacy, or the investment management industry.
* Familiarity with financial administration and bookkeeping processes.
