About the Role
We are seeking a warm, organised, and proactive Allied Health Practice Administrator to support the day-to-day operations of our growing clinic. This role is central to creating a welcoming and supportive experience for clients and families, while ensuring smooth administrative, operational, and basic digital support for clinicians and management.
The ideal candidate thrives in a fast-paced environment, is highly organised, and enjoys working across administration, communication, and light digital tasks such as website updates and simple marketing support.
Key ResponsibilitiesClient & Family Support
* Liaise with clients and families in person, via phone, and email in a friendly and professional manner
* Manage enquiries, referrals, intake forms, and waitlists
* Schedule and coordinate appointments across multiple clinicians
* Support onboarding of new clients, including service agreements and consent forms
Clinic Administration
* Maintain accurate and confidential client records and documentation
* Maintain and update the client database
* Assist with appointment confirmations, reminders, and follow-ups
* Support clinicians with day-to-day administrative needs
Operational & Practice Support
* Coordinate calendars, bookings, and clinic resources
* Maintain office systems, templates, and workflows
* Assist with stock ordering, clinic supplies, and general office organisation
* Support compliance and documentation processes where required
Digital & Marketing Support
* Update and maintain website information (e.g. service descriptions, team profiles, announcements)
* Assist with basic flyer design and simple promotional materials (e.g. Canva)
* Support basic social media content updates and scheduling as required
* Assist with keeping clinic information consistent across online platforms
(Note: This is not a specialist marketing role, but basic digital and content support is part of the position.)
Team & Practice Support
* Communicate effectively with clinicians, therapists, and management
* Assist with onboarding of new staff and contractors
* Support internal communication and scheduling updates
* Contribute to a positive, collaborative, and professional clinic culture
Essential Skills & Experience
* Previous experience in administration (healthcare or allied health preferred)
* Strong organisational and time-management skills
* Excellent written and verbal communication skills
* Confidence using practice management systems, email, and spreadsheets
* Ability to handle sensitive information with discretion and professionalism
* Warm, calm, and client-centred approach
* Familiarity with Canva or simple design tools
* Basic understanding of social media platforms for business use
Desirable (But Not Essential)
* Experience in an allied health, disability, or NDIS-related setting
* Basic experience with website updates (e.g. WordPress or similar)

* Hourly rate: $25–$28 per hour + superannuation (based on skills, experience, and role fit)
