Executive Assistant Role Summary
* This high-level administrative role involves providing confidential executive, secretarial, and project support to a senior executive within the Finance Directorate.
Key Responsibilities:
1. Screening and interpreting telephone calls and redirecting enquiries to appropriate areas.
2. Managing and coordinating electronic diaries.
3. Preparing meeting agendas, minutes, briefs, and other documents.
4. Ensuring compliance with the department's records management system.
5. Assisting with human resources requests, including forms and processes.
6. Coordinating building access and systems access across the Finance Directorate.
7. Managing procurement activities.
8. BUILDING STRONG RELATIONSHIPS WITH OFFICERS AT ALL LEVELS.
9. Working effectively as a member of a team to support and deliver projects and tasks.
Requirements:
1. Proven ability to provide high-level administrative support and services to a senior executive.
2. Experience in successfully coordinating multiple activities within tight timeframes.
3. Ability to build and sustain positive relationships with team members, stakeholders, senior management, and clients.
4. High-level communication and interpersonal skills.
