The Opportunity

LINX Ports Services is currently seeking an Assistant Operations Coordinator to join our Fremantle operation.

The primary responsibilities of this role include; supporting with the allocation of labour, data entry and reporting, invoicing and procurement support, preparation of operational reports, payroll assistance, and other general coordination and administrative duties as required.

Reporting to the Senior Operations Manager, this role suits someone with strong Excel capability, excellent attention to detail, and the ability to manage competing priorities in a fast-paced operational environment.

About the Position

The Assistant Operations Coordinator will be responsible for but not limited to the below –

* Supporting with the allocation of labour as required to facilitate efficient operations per shift.
* Assist payroll function at site level through tracking and reporting employee working hours.
* Assist in maintaining our allocation system, ensuring any identified issues are logged and resolved.
* Entering completed training records into the system
* Organisation of site access including access cards and PPE.
* Data entry across various LINX Port Services systems.
* Creation and close off of Purchase Orders in LINX's financial system (Oracle).
* Creation of PR's for new quotes and vendors.
* Filing and archiving of documents.
* Travel and accommodation bookings.
* General office duties including management of inventory of office, kitchen and printer supplies.
* Adhoc office coordination and administration duties as required.

About Your Experience

* Experience in a coordination, scheduling or administration role in logistics or a similar industry;
* Mid-level computer skills with experience in Excel, Word and Outlook;
* Demonstrated experience in data entry with a strong eye for detail.
* A strong focus on safety and be able to uphold LINX's high safety standards and compliance;
* Ability to pass a pre-employment medical, including a drug and alcohol screen.
