About the role

The Data and Intelligence Program Officer provides administrative and coordination support to the Data and Intelligence Team. This team supports programs and corporate services across the organisation by managing data, reports, and system based activities. based activities.

In this role, you will work closely with the Data and Intelligence Team and the Digital Enablement Team to help coordinate projects, maintain registers, support reporting requirements, and assist with day-to-day administrative tasks. The role works across the organisation and supports activities that contribute to our reporting obligations with the Department of Health, Disability and Ageing (DHDA). to day administrative tasks. This position is well suited to someone who is organised, comfortable working with systems and documentation, and enjoys supporting others to deliver their work.

What you'll do

In this role, you will provide practical support across a range of activities, including:

* Attending project and team meetings and following up on actions within your role.
* Assisting with meeting administration, including minute taking and organising attendees when required.
* Helping to maintain organisational registers, including the data catalogue and privacy impact assessment register.
* Supporting the preparation of basic project documents, such as communications plans and functional requirements.
* Assisting with data entry and updates to support reporting, activity work plans, and performance reporting.
* Helping prepare presentations, training materials, and other documents.
* Assisting with the planning and logistics of meetings, workshops, and events.
* Providing administrative support for contracts, including invoice logging, checking milestones, and supporting compliance processes.
* Monitoring the Data and Intelligence inbox and Service Hub and allocating requests to team members.
* Supporting the setup and maintenance of Microsoft Forms, SharePoint lists, and registers used across the organisation.

Key selection criteria

* A minimum of two years’ exposure and/or experience working in a supporting administrative, technology, or project team role, is highly desirable.
* Proven ability to effectively plan, prioritise, and manage multiple and competing activities to meet business expectations and deadlines.
* Highly developed communication skills, including the ability to effectively communicate and negotiate in writing and verbally with stakeholders across all levels of the organisation.
* Exposure to operating with confidential information and exercising the highest degree of discretion.
* Sound knowledge of Microsoft Office suite and the ability to become proficient in other software programs as required.
