The key duties of the position include The Role Opportunities exist for highly motivated and experienced individuals to provide executive support to Defence senior leaders at the Band 3 and 3 Star level within Defence. The senior leadership team includes both Senior Executive Service employees and Australian Defence Force Star Rank officers. With limited supervision, you will manage the office of either a Deputy Secretary or the military equivalent. This includes calendar management, preparation of correspondence, organising meetings, arranging travel, coordinating briefing packs, managing office systems and records, financial reporting and other varied duties dependent on position. The roles may also provide administrative and operational support to the respective Branches and Divisions, and mentoring and support to the next generation of EAs. Note: As a Department of Defence employee, you must be able to obtain, hold and maintain an Australian security clearance. As there are multiple APS 6 EA opportunities across the Defence enterprise, clearance levels may vary - Baseline, Negative Vetting, Negative Vetting 2 or Positive Vetting. If you are found suitable to be placed in the merit pool, the clearance level that you will require is position dependent. Any merit pool established through this recruitment process will be used exclusively to fill Executive Assistant positions within the Department of Defence. It will not be shared with or accessible to other government departments. The Executive Assistant (EA) role is a position of trust and discretion. In working directly with members of the Senior Leadership Group it is crucial individuals are suitably skilled, professional, work well under pressure and have strong communication skills. Candidates will be well organised, demonstrate a high-level of initiative, have the ability to manage competing priorities, work independently, and the ability to collaborate effectively in a fast-paced environment. You will proactively anticipate the needs of your senior leader, exercise flexibility, sound judgement and resilience. You will have excellent time management skills, strong attention to detail and excel at building and maintaining stakeholder relationships. Candidates will be self-aware, with a positive attitude, demonstrating consideration and respect for diversity of ideas and perspective of others. You will demonstrate a high level of professionalism as part of managing a senior executive office at Defence. Candidates will be proficient in the use of Microsoft Office, experience with using records management systems, and financial management systems. Previous experience as an EA or other executive support roles will be highly regarded.
