Reporting to the Managing Director, the Business Operations Administrator will:
* Drive accuracy and consistency across scheduling, quoting and billing, partnering closely with TLCO's accounting team
* Build and maintain clear, reliable project documentation and financial records
* Manage and optimise core business governance and compliance workflows, including insurance, supplier and employee accreditation
* Own and continuously improve TLCO's Integrated Management System (IMS) and coordinate audits
* Provide proactive, dependable support that strengthens TLCO's reputation as a trusted, innovative partner
Job tasks and responsibilities
* Owning the day-to-day business administration across TLCO
* Maintaining TLCO's operating cadence, including operations meetings, scheduling and Opportunity for Improvement (OFI) workflows
* Managing project, financial and compliance records, including client invoicing oversight, portal management and reporting submissions
* Coordinating employee and contractor administration, including inductions, documentation and system access
* Providing high-quality operational support that enables TLCO to consistently meet and exceed client expectations
Skills and experience
In this trusted operational role, there is a strong requirement that all applicants demonstrate:
* Proven experience in business administration, operations support, or a similar role within a professional services or technical environment
* Strong systems mindset with high-level attention to detail and the ability to manage multiple processes accurately and consistently
* Initiative and confidence in following up and closing loops
* Calm judgement and good escalation awareness
* Commercial literacy and experience supporting compliance, governance, or quality management frameworks
* Excellent written and verbal communication skills
* Ability to work independently, manage priorities and meet deadlines
* High level of professionalism, discretion and integrity
* Proficiency with Microsoft 365 and cloud-based business systems
The following experience and qualifications will be highly regarded:
* Previous experience working with infrastructure and/or construction projects
* Tertiary qualifications in Business Administration or similar
* ISO experience, particularly ISO 9001, 14001, 45001 and 27001 (Data Security)
* Daylite CRM, InDesign or Xero
