Position Summary
The Sales Admin Assistant provides essential administrative and contract support to the Sales Manager and broader sales team
This role is responsible for managing sales-related documentation, preparing contract packages, and ensuring customer changes and deal information are processed accurately and efficiently
The position also supports internal communication, reception assistance, and lead management activities
The ideal candidate is detail-focused, proactive, and able to work autonomously while supporting a dynamic, fast-paced sales environment
Key Responsibilities
Contract & Sales Administration
* Assist the Sales Manager with all administrative tasks related to the sales team
* Prepare deals, sales packages, and documentation required for the Sales Manager to process
* Manage customer changes across all product lines, ensuring accuracy and proper documentation
* Enter weekly sales reports and maintain up-to-date sales records
* Process Security and Plantation cutting lists accurately and in a timely manner
* Ensure paperwork moves efficiently into production by providing quick, accurate solutions
* Support ongoing contract compliance, internal approvals, and document control workflows
Customer & Lead Support
* Handle lead phone calls and manage overflow calls for other departments when required
* Assist in supporting the leads team with administrative and process-related tasks
Team & Operational Support
* Teach new sales team members how to use in-house programs (BlinQ, Excel Master)
* Assist at reception when needed, including greeting customers and handling inquiries
* Perform general housekeeping duties to support the smooth operation of the sales office
* Collaborate with cross-functional teams to streamline processes and improve daily sales operations
Requirements
Skills & Attributes
* High attention to detail with consistent accuracy in all paperwork and data entry.
* Strong problem-solving abilities and the confidence to resolve issues independently when needed
* Proven ability to work autonomously and proactively manage workload without being prompted
* Ability to accept and manage ongoing, high-volume tasks from the Sales Manager
* Commitment to continuous improvement and implementing more efficient administrative processes
* Excellent communication and interpersonal skills for dealing with customers, teammates, and external stakeholders
* Reliable, professional, and confident interacting across departments and customer touchpoints
Experience & Technical Skills
* Experience in sales administration, sales operations, or contract administration preferred
* Proficiency with in-house systems or willingness to learn (e.g., BlinQ, Excel, CRM tools, Microsoft Office)
* Strong organisational skills with the ability to multitask and prioritize effectively
Work Environment
* Role may include occasional reception duties and customer-facing interactions in the showroom
Hours & Inclusions
* $30 to $35.00 per hour with a review after 3 months
* 25 hours per week Part time (9am-2pm)
