Job Opportunity: Administration and Intake Officer
This fixed-term role until July 2026 requires a diploma or certificate in practice management or business administration, or significant experience in mental health/community services.
Key Responsibilities:
* Quality, Compliance & Documentation: Ensure adherence to NDIS standards, assist with audits, and maintain up-to-date records. Identify opportunities for process improvement and implement changes as needed.
* Administration & Operations: Manage invoices, maintain accurate records, handle stock and maintenance needs, oversee IT requests, reconcile credit cards, coordinate fleet vehicles, and support workplace health and safety requirements.
* Frontline Support & Reception: Process all referrals, complete intake contacts, provide crisis line information, and manage reception duties including phone enquiries, messages, and general office support.
* Stakeholder Collaboration: Build and maintain strong relationships with internal and external stakeholders to resolve issues efficiently.
* Recruitment & Onboarding: Support hiring processes, deliver local inductions, and ensure all staff training is recorded and approved.
* Meetings & Events: Provide secretariat services (agendas, minutes, room setup) for key meetings, and assist with events as needed.
* General Administration: Perform various administrative tasks to support smooth service operations.
