Position Overview

We are seeking a dedicated and proactive Receptionist / Migration Case Worker to join our small, supportive team. This full-time role is ideal for someone who is organised, personable, and willing to assist across all areas of office administration and migration case support. You'll play a key role in maintaining the day-to-day operations of our office while contributing to meaningful work in the migration field.

Responsibilities

* Greet clients and visitors with a warm and welcoming demeanour, ensuring a positive first impression of the company.
* Answer and manage incoming calls, directing them to the appropriate team members in a professional manner.
* Schedule appointments and manage the office calendar to optimise efficiency.
* Assist in maintaining and updating client records, ensuring accuracy and confidentiality.
* Provide administrative support with migration cases, including data entry, document preparation & handling, and filing.
* Handle incoming and outgoing mail and emails, responding or forwarding them as necessary.
* Coordinate and manage the flow of documents and information within the office.
* Take accurate notes and record minutes during client consultations
* Assist in managing inquiries and scheduling appointments for visa consultations.
* Collaborate with the team to ensure a seamless client experience.
* Perform other related administrative tasks as needed.

What we're looking for

* Strong organisational skills and attention to detail
* Ability to multitask and prioritise in a fast-paced environment
* Excellent written and verbal communication skills
* Previous admin or reception experience is helpful but not essential
* Proficiency in using office software, including Microsoft Office (Word, Excel, Outlook).
* Discretion and respect for confidentiality when handling sensitive information.
