Role Description
We are seeking a highly organised and proactive Executive Assistant / Personal Assistant to provide dedicated support to the Principal of the firm. This on‑site role involves managing executive communications, coordinating administrative workflow, supporting legal document preparation, and assisting with the smooth, efficient functioning of the practice. The successful candidate will be a dependable administrative professional who thrives in a fast‑paced legal environment and enjoys being a key point of support within a close‑knit team.
Key Responsibilities
Manage the Principal's email inbox and calendar, including preparing and updating a daily "Emails to Action" table.
Prepare and draft documents and correspondence under instruction from the Principal and/or Partners.
Liaise directly with clients, Counsel chambers, and Court experts.
Maintain filing systems (electronic and hardcopy) and index disclosure and Court documents.
Handle general administrative duties, including answering calls, managing new client enquiries, and diary management.
Assist with billing processes (mid‑month and end‑of‑month), and transcription of electronic dictations.
Support office operations by coordinating with marketing and technical support, and assisting with organising conferences and CLEs.
Qualifications & Skills
Experience in Executive Assistant, Personal Assistant, or administrative support roles—legal industry experience highly regarded.
Strong organisation, time‑management, and multitasking skills.
Excellent written and verbal communication, with polished client‑service skills.
Proficiency with office software, including document preparation tools and practice management systems.
Ability to prioritise competing tasks and work efficiently in a fast‑paced environment.
Professionalism, discretion, and a proactive attitude.
