Total Tools Albury is looking for a Full-Time Accounts Payable/Receivable Assistant to join the team. The primary purpose of the Accounts Payable/Receivable Assistant position is to provide the highest level of accounting and administration support to enable the store to exceed customer expectations and support meeting the overall store performance levels.
What will you be doing?
Accounts Payable
* Process supplier invoices daily, match credit notes with claims.
* Monitor payment commitments and prepare payments per cycle e.g. weekly, fortnightly or
monthly for processing by the Finance Manager.
* Liaise with suppliers regarding credit claims, payment queries and orders discrepancy.
* Ensure the supplier subledger is kept up to date.
* Process any ad hoc/overhead invoices.
* Reconcile supplier statements monthly
Accounts Receivable
* Process credit account applications for new customers, including trade references and liaise
with the Finance Manager for approval.
* Follow up on overdue accounts to ensure timely receipts and advise Finance Manager on
issues with any debtors.
* Process and follow up on rebates from suppliers and invoice as per supplier trading
agreement. Contra to AP where instructed.
* Ensure the customer subledger is kept up to date.
* Allocate customer account payments to invoices, and process debtor payments received into
the bank.
* Issue customer statements monthly.
* Balance cash registers and maintain floats daily. Liaise with the Finance Manager on
rectifying any variances
Financial Reporting
* Assist with preparation of financial information/reports and financial analysis to assist with
the management with the successful operation of the business.
* Assist with maintaining financial registers including but not limited to vehicles and other
assets.
Administration
* Maintain effective filing systems.
* Order stationery supplies.
* Answer calls, draft and send email correspondence, assist with meetings and minute taking.
