Based in our Perth office, the Leasing & Marketing Executive will be responsible for all leasing administration and marketing activities in Australia and ensure alignment with strategic asset plans. Your responsibilities are but not limited to:
- Strengthening relationships with a variety of internal stakeholders and external stakeholders including tenants, property valuers and other consultants and coordinate with them to ensure an accurate and timely response to queries and information requests.
- Tracking leasing documents (Assignments, Subleases, Offers, LOI's, Leases, Deposits), obtaining Landlord signatures, and obtain Tenant Signatures.
- Regularly compiles leasing data and stays up-to-date and communicate the current commercial/retail Leasing market.
- Developing and Implementing office administrative process and procedures: Acknowledge needs of department and improve streamlining of work-flow by creating best practices. Communicate and direct these changes to department and involved departments.
- Assisting in leasing matters including writing Letter of Offers / Heads of Agreement / Disclosure Statement for Leasing Manager if needed.
- Managing Internal System - schedule updates, ensuring monthly and quarterly uploads are completed accurately, streamlining data, omitting redundancy information. Update the tenant database (MRI) with contract changes, information variations and insurance details and generate reports for rent reviews, billing reports.
- Being the first point of contact for Leasing Enquiries.
- Direct point of contact with marketing, relay leasing needs, coordinate and support marketing campaigns and initiatives, monitor updates to App and Website.
- Working with Accounts to ensure Lease charges are accurately charged
- Preparing minutes/meeting note if required
- Filing - organize, scan and maintain filing systems.
- Working in partnership with the internal and external creative team, develop creative briefs and guide creative direction to meet objectives for all advertising and public-facing communications, including print and digital assets i.e Leasing brochure, Website, Facebook, LinkedIn etc
- Managing content and updates for customer, community and internal touch points, establishing budget guidelines, identifying and co-ordinating future marketing events, documenting business processes, and providing advertising support for both Retail and Office long term marketing campaigns
- Gathering customer and market insights to inform outreach strategies, increase customer conversions, and generate more qualified leads
- Identifying effectiveness and impact of current marketing initiatives with tracking and analysis, and optimize accordingly
- Presenting ideas and final deliverables to internal and external teams, and communicate with senior leaders about marketing programs, strategies, and budgets
Job Requirements:
- At least 3 years of marketing experience and 1 - 2 years' experience in a Property Management/Real Estate Industry
- Strong administrative and organisation skills
- Good communication and interpersonal skills (both written and oral).
- Possesses initiative and drive
- Experience in coordinating and liaising closely with external stakeholders and agencies
- Build strong relationships and rapport with tenants, partners and vendors.
- Experience in executing marketing campaigns by overseeing overall planning, creative development events
