The Opportunity

Tasracing, Tasmania's Principal Racing Authority, is seeking a Stewards Administration Officer to assist the Tasracing Integrity Unit (TIU) to achieve its integrity objectives. This position is responsible for the day-to-day administrative requirements of the Stewards Function, including attending to general enquiries from industry participants and the public, managing drug sampling supplies and swab results, documenting and reviewing race day procedures, and preparing integrity reports and notices.

The role also contributes significantly to inquiry and appeal proceedings before the Stewards and the Tasmanian Racing Appeals Board. Responsibilities include liaising with participants, preparing briefs of evidence, transcripts, and investigative reports, managing administrative tasks, and ensuring follow-up actions are completed.

Key Responsibilities

As a member of the Tasracing Integrity Unit Administration Team, you will:

* Demonstrate a high degree of personal integrity and discretion, with a thorough understanding of the principles and application of confidentiality with sensitive information.
* Develop and continually enhance Standard Operating Procedures to ensure all administrative tasks relating to race meetings, out-of-competition testing, and stable and kennel inspections are completed and recorded accurately and efficiently each day by self and Stewards.
* Provide comprehensive administrative support to the Stewards Panel, including preparing correspondence, stewards' and inquiry reports, and compiling and maintaining statistical information.
* Maintain and order swab supplies and ensure adequate allocation of supplies to each race meeting. Assist with coordination of out-of-competition and human testing regimes in consultation with Chief Stewards and Investigators, completing all associated documentation, record keeping, reconciliation, and dispatch of samples to testing laboratories.
* Coordinate the use and maintenance of Stewards' facilities and race meeting equipment, ensuring readiness and functionality for race-day operations.
* Foster close collaboration with the TIU Operations and TIU Investigations & Animal Welfare (IAW) functions, to support effective and coordinated operations.
* Support divisional projects and assist in developing materials and activities to enhance industry and staff capability.
* Perform other duties as required at the classification level, within the employee's competence, skills, and training.

This position is responsible for:

* Maintaining practices, methods, and standards and identifying improvements to ensure quality control and operational efficiency.
* Managing workflow processing using the Agency's electronic systems to ensure timely distribution and completion of assigned work to established standards.
* Providing a high level of client service to internal and external stakeholders.

About you

To excel in this role, you'll need:

* Knowledge and expertise in performing a range of administrative support functions.
* Knowledge or experience working in a regulatory environment, including an understanding of confidentiality and processes associated with racing regulation in Tasmania, or the ability to quickly acquire this knowledge.
* Well-developed interpersonal and communication skills, with the ability to explain operational procedures and liaise with clients, stakeholders, and the public.
* Ability to exercise independent judgment in planning and executing complex tasks, with initiative to provide recommendations and solutions for non-standard requirements.
* Strong organisational skills to manage multiple tasks, plan and complete work accurately within deadlines, and work effectively as part of a team.
* High-level keyboard and document production skills, including proficiency with common software and document management systems, or the ability to quickly acquire these skills.
