Role Overview
We are seeking a proactive and dependable Office Administrator & IT Support Officer to support day-to-day office operations and provide first-level IT support. This role is critical in ensuring smooth administrative operations, effective asset management, reliable IT systems, and secure computing environments across the organisation The successful candidate will take ownership of office assets, coordinate repairs and replacements with vendors, manage and maintain Ninja One, and ensure all systems meet required security and compliance standards
Key Responsibilities
Office Administration
* Provide general administrative support to ensure smooth daily office operations
* Assist with office coordination, documentation, records management, and scheduling
* Support onboarding and offboarding activities, including workstation setup
* Liaise with internal teams to support operational and administrative requirements
* Manage office supplies, facilities requests, and general office upkeep
IT Support & Systems
* Provide first-level IT support to staff (hardware, software, connectivity, peripherals)
* Ensure all computers and devices have up-to-date virus protection, security patches, and system updates
* Monitor system health and report issues proactively
* Assist users with common IT issues and escalate complex problems when required
Asset Management
* Maintain an accurate inventory of all IT and office assets (laptops, monitors, phones, accessories, licenses)
* Manage allocation, tracking, and return of assets
* Coordinate repairs, replacements, and warranties with external vendors and suppliers
* Ensure timely procurement and deployment of replacement equipment
Vendor & Service Coordination
* Act as the primary point of contact for IT and office-related vendors
* Coordinate repairs, maintenance, and service requests
* Track vendor performance and service delivery timelines
Ninja One Ownership
* Manage and take full responsibility for Ninja One, ensuring availability, accuracy, and proper usage
* Support staff with access, basic troubleshooting, and system usage
* Coordinate updates, improvements, or issues with relevant stakeholders or vendors

Required Skills & Experience
* Proven experience in office administration, IT support, or a similar role
* Strong understanding of basic IT systems, hardware, and software
* Experience managing IT assets and vendor relationships
* Familiarity with endpoint security, antivirus software, and system updates
* Excellent organisational and time-management skills
* Strong communication and problem-solving abilities
* Ability to work independently and take ownership of responsibilities
