Your responsibilities will include:
* Proactively managing a demanding diary, inbox and workflow, exercising discretion and sound judgement on behalf of the General Manager
* Coordinating travel, itineraries and corporate credit card expense reconciliations
* Organising meetings, operational forums, conferences, offsites and engagement initiatives
* Preparing agendas, minutes, action items, reports, presentations, briefings and correspondence
* Collating and distributing documentation for approvals, submissions and sign‑off
* Processing invoices and expenses accurately and within required timeframes
* Working collaboratively with national teams to support divisional initiatives and strategy implementation
* Adhering to Mirvac policies, procedures and reporting requirements at all times
About you

You will ideally bring:
* 5+ years' experience as a Personal Assistant supporting senior leaders
* Proven experience managing complex diaries, travel and logistics
* Strong stakeholder management and communication skills
* Experience working in a fast‑paced, high‑volume administrative environment
* Advanced proficiency in Microsoft Office
* Strong problem‑solving skills with the ability to work autonomously
* Exceptional attention to detail, time management and organisational skills
* A high level of discretion and professionalism when handling confidential information

Your opportunity
This role spans strategy and operations across six functions, supporting a senior leader with a full and constantly moving calendar, a national leadership footprint and a team of approximately 30 people, including senior managers. You will interact with stakeholders across departments, states and levels, and play a key role in keeping momentum, priorities and communication flowing.
The General Manager operates with a light‑touch leadership style — this role suits someone who is proactive, responsive and two steps ahead, able to anticipate needs, reshuffle priorities quickly and exercise sound judgement with confidence and discretion.

What you'll be doing
Proactively managing a very full and fast‑moving calendar, inbox and workflow, ensuring priorities are anticipated and seamlessly re‑balanced
Acting as a trusted gatekeeper and right‑hand support, exercising discretion, professionalism and judgement at all times
Coordinating complex meetings, including large‑scale strategy and operational forums, one‑on‑ones and ad hoc sessions tied to key initiatives
Supporting the planning and delivery of major events and conferences, including large national forums and external engagements
Managing travel, itineraries and corporate credit card expense reconciliations
Preparing high‑quality presentations, papers, briefings, minutes and correspondence
Supporting HR‑related administration for the leadership team, including onboarding and employee changes
Building strong working relationships across teams, functions and states to support collaboration and delivery
Continuously improving administrative processes and ways of working
Providing reliable, no‑fuss support that enables the General Manager and leadership team to perform at their best

About you

You will bring:
5+ years' experience as a Personal Assistant supporting senior leaders
Proven experience managing complex diaries, logistics and competing priorities
Exceptional organisational skills and attention to detail
Strong stakeholder engagement skills and confidence working across senior and national teams
Sound judgement, discretion and a high level of professionalism — confidentiality is non‑negotiable
A proactive mindset — you're comfortable making decisions, re‑prioritising on the fly and keeping things moving
Advanced Microsoft Office skills
